Position Summary

A large residential cooperative in the Bronx is seeking a professional, dependable, and service-oriented On-Site Receptionist to serve as the primary point of contact for residents, shareholders, visitors, vendors, contractors, and prospective residents.

The Receptionist is an important member of the property management team and is responsible for maintaining a welcoming, organized, and professional front-office environment. The ideal candidate will have excellent communication and customer-service skills, strong attention to detail, and the ability to handle a busy residential office with discretion and professionalism.

Key Responsibilities

Front Desk & Resident Services

· Greet and assist residents, shareholders, visitors, vendors, contractors, and other guests in a courteous and professional manner.

· Answer, screen, and route incoming telephone calls and respond to general inquiries.

· Receive resident requests and concerns and direct them to the appropriate management or building staff.

· Maintain a professional and service-focused atmosphere at the management office.

· Assist residents with general questions regarding building procedures, forms, policies, and management-office services.

· Maintain confidentiality when handling resident, shareholder, employee, and building information.

Building Operations Support

· Communicate service requests and maintenance concerns to the appropriate building personnel.

· Maintain visitor, vendor, contractor, key, access, and other required building logs.

· Coordinate with building staff regarding scheduled work, inspections, repairs, deliveries, and resident appointments.

· Assist management with distributing building notices and communicating planned work, shutdowns, inspections, and other operational information.

· Escalate emergencies, security concerns, resident complaints, and sensitive matters promptly to management.

Professional Standards

· Maintain a neat, professional appearance and demeanor.

· Remain calm, courteous, and solution-oriented when handling difficult or sensitive interactions.

· Follow established cooperative policies, management procedures, privacy requirements, and office protocols.

· Perform other administrative and property-related duties as assigned by management.

Qualifications

· High school diploma or equivalent required.

· Prior receptionist, administrative assistant, customer-service, property-management, or residential-building experience preferred.

· Experience working in a large cooperative, condominium, or multifamily residential property is a plus.

· Strong verbal and written communication skills.

· Excellent customer-service and interpersonal skills.

· Ability to interact professionally with residents, board members, management, staff, vendors, and contractors.

· Strong organizational skills with the ability to prioritize multiple requests in a busy office.

· Proficiency with Microsoft Outlook, Word, Excel, and general office technology.

· Ability to maintain confidentiality and exercise sound judgment.

· Dependable, punctual, detail-oriented, and able to work independently as well as part of a team.

· Bilingual English/Spanish is a plus.
