How will you CONTRIBUTE and GROW?

Job Description Summary
Coordinate the tender response process across designated countries and their local teams. This involves supporting the local sales team in offer preparation, constructing the administrative and final proposal, and submitting the bid to the customer when possibly considering the legal local rules. Additionally, contribute to the development of standardized tools, documents library for offers and benchmarking.

Pre-tender coordination

  • Identify the tender

  • Read tender specifications

  • Organize Go/No-Go meetings with the concerned country teams

  • Prepare lists of questions related to public procurement

  • Supervise mandatory site visits

  • Participate in mandatory Q&A sessions

  • Draft the response to the specifications / admin memo

  • Lead and coordinate the tender response team

Tendering bid

  • Responsible for all tendering activities within all therapeutic MedGas and R&A public bids.

  • Manage the tendering process from A to Z

  • Ensure good communication & coordination between the different departments within the company and with the client.

  • Collaborates with the country Sales Team in the preparation of the commercial proposal (pricing, technical solution, conditions…)

  • Check whether the internal procedures, standards, norms and guidelines are correctly applied.

  • Coordinate and supervise the internal approval committees.

  • Supervise the entire quotation process

  • Actively involved in strategic and tactical discussions, from the early commercial stages, over the price request, the tender up to the completion of the project.

  • Use of BI to make the monthly analysis for the department

  • Systematic follow-up on offers issued

  • Manage the administrative follow-up of the tender response

  • Send the tender response to the client

Note: Country Sales team remains accountable for the Offer preparation (pricing, technical solution) & submission.

Post-tendering follow-up

  • Once awarded ensures the smooth transition from the offer to contract inline with local processes

  • Conduct the financial analysis of the tender response

  • Monitor the contract award process

  • Analyze the award report

  • Prepares the post-mortem in case of the tender loss

  • Keeps the track of the tenders schedule : anticipates the upcoming tenders & its preparations

  • For his / her scope monitors tender success rate, consolidates the market information

Documentation management

  • Put in place a documentation library, document owner per type and per country, date of validation…

  • Organize update of official document in the data base with specialist per domain (regulatory, financial, technical specifications, commercial / product presentations)

  • Guiding the criteria for awarding public contracts

Required Qualifications And Competencies

Education & Experience

  • Master / Bachelors, Business or Engineering

  • Experience in an operational, international sales support environment

  • Experience in tendering process

  • Fluency in English and in one other NCE languages (mandatory)

Soft skills:

  • Works in a structured way (projects)

  • Excellent communication skills

  • Customer-focused professional with a commercial feeling for the client and prospect portfolio

  • Independent and with a critical eye, problem-solving ability and a commercial attitude

  • Enthusiastic and motivated team-player, and also being able to work independently

  • Ability to manage deadlines and to cope with stress

  • Transversal management skills

Hard skills

  • Good knowledge of multiple IT applications such as SAP, Onedrive, Google mail, Sales Force

  • Knowledge of AL internal organisation & processes
