About this role

The Workplace Experience Manager will be reporting to a Facilities Director. He/She will lead, assist, and plan for the Facilities Team (Workplace Experience Team) to perform essential functions as follows:

Leadership Role

  • A Workplace experience manager typically holds a leadership position within the Facilities (Workplace Experience) department. They are responsible for overseeing a team of Facilities professionals, providing guidance, direction, and support to ensure the team meets its goals and objectives.

Problem-Solving

  • The Workplace Experience Manager is tasked to solve issues and challenges that arise during the operations of the site

Training and Development

  • They may be responsible for training new team members, as well as providing ongoing development opportunities to enhance the skills and capabilities of the Facilities Team

Performance Management

  • Workplace Experience Manager typically play a role in performance management, including setting performance goals, conducting performance evaluations, and providing feedback and coaching to team members.

  • Responsible for maintenance of workplace infrastructure including operation & maintenance of office equipment.

  • Responsible for preparation of the budget, controls and ensures efficient utilization of the budget.

  • Responsible for all travel, logistics and arrangements for guests and vehicle utilization and their maintenance.

  • To ensure effective control and regular monitoring of all the workplace-related expenses and report the same to head of the department.

  • Prepare documents for all technical and admin related procedures and ensure the same is strictly followed.

  • Ensure that the statutory requirements related to the workplace functions are complied with.

  • Carry out any other work as and when assigned by HOD.

  • To ensure that the Facility is kept and maintained to the world standards, no failures on electro- mechanical services and other maintenance services.

  • To provide guidance to workplace supervisors and associates

  • To ensure that the workplace is clean and ensure resolution to day-to-day issues.

  • To ensure timely food arrangement, strict monitoring & vigil for better food management in the pantry

  • Ensure smooth functioning of the operations & close monitoring of vehicle utilization.

  • Ensure legal compliance related to transport and safety of staff.

  • Developing stable and reliable vendors constantly keeping in view the cost and quality factors. Purchase of office automation equipment, consumables, stationery, etc.

  • Responsible for maximizing the overall operational and financial performance to deliver planned results including process development and budgeting of workplace expenses.

  • Take feedback from the internal customers and ensure maximization of satisfaction.

  • Interface with procurement in evaluation of facility related contracts. • Interface with legal for statutory compliance.

  • Forecasting of monthly budgets/projections for technical and administrative expenses, creating daily/monthly MIS and constant monitoring of administrative expenses and cost alignments

  • Access control system management and structured cabling management

Qualifications

Requirements:

  • Must be amenable to work 100% onsite in SM Sta Rosa

  • Must be amenable to work on a fixed night schedule

  • At least 5 years or related experience, 3 years of leadership experience in the same field.

  • Preferably with certification on OHS and pollution control

  • Facilities and Project Management

  • Quantity and Quality Surveying

  • Financials, Procurement and Contract Management
