Marymount seeks an experienced, highly organized, and service-oriented Athletics Coordinator to serve as the operational backbone of the Athletic Department. As an integral member of the Athletics team, the ideal candidate values the educational role of athletics and brings firsthand experience as an athlete and coach, along with a deep understanding of student-centered athletic programs.

The Athletics Coordinator is responsible for coordinating and executing the administrative, logistical, and operational functions that support the daily success of the athletic program. Reporting to the Athletic Director and working closely with the Associate Director of Athletics, this individual ensures that schedules, transportation, facilities, equipment, events, records, purchasing, and communications systems operate efficiently and effectively throughout the school year.

Marymount seeks a candidate who is a proactive systems-builder, who enjoys managing complex logistics, who communicates exceptionally well, and takes pride in creating an outstanding experience for student-athletes, families, coaches, and colleagues. The role requires excellent organization, collaboration, and responsive communication, with the ability to anticipate needs, solve problems, and manage multiple priorities in a dynamic school environment.

As with all faculty and staff, the Athletics Coordinator contributes to the broader life of the Marymount community. This role plays a vital part in shaping the experience of student-athletes, coaches, and families while advancing Marymount's commitment to developing the whole student-athlete through competitive excellence, leadership, wellness, and character development.

Responsibilities include:

Operations & Logistics

  • Coordinate the day-to-day operations of the Athletic Department, ensuring efficient and effective execution of departmental priorities.
  • Maintain athletic schedules, calendars, facility reservations, practice schedules, and middle school athletic operations across school and athletic platforms.
  • Coordinate transportation, travel logistics, officials, vendors, and other operational support for practices, competitions, athletic trips, and special events.
  • Support game-day operations and coordinate logistics for preseason, postseason, championship events, and school-wide athletic events, including award ceremonies, event communications, vendor coordination, calendar management, and event setup and breakdown.
  • Coordinate equipment and uniform distribution, collection, setup, storage, inventory management, and replacement planning to ensure programs are well-equipped throughout the year.
  • Coordinate purchasing, equipment orders, invoices, reimbursements, vendor payments, budget tracking, and financial documentation in partnership with the Business Office.
  • Maintain accurate departmental records, databases, and reports while ensuring data integrity across all systems.
  • Develop, document, and improve operational systems, workflows, and procedures to promote efficiency, consistency, and accountability across the Athletic Department.

Communications

  • Serve as the primary contact for all inquiries and communications; including managing the department inbox.
  • Provide timely, professional, and responsive communication to students, families, coaches, and community members.
  • Communicate logistical information related to schedules, transportation, facilities, forms, and events.
  • Support a positive and welcoming experience for all constituents interacting with the Athletic Department.

Student-Athlete Support

  • Maintain student-athlete attendance and participation records.
  • Support athletic registration processes and related administrative procedures.
  • Ensure athletic forms, permissions, and records are organized and maintained accurately.
  • Assist in maintaining student-athlete eligibility and roster records as directed.
  • Serve as a knowledgeable resource for families regarding athletic procedures and logistics.
  • Coach 1-2 seasons of Middle or Upper School athletics.

Qualifications

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • Minimum of three years of experience in athletic administration or school operations, preferably in an independent school or college setting.
  • Exceptional organizational and project management skills.
  • Experience developing systems and processes that improve organizational efficiency.
  • Strong written, verbal, and interpersonal communication skills.
  • Demonstrated ability to manage multiple priorities simultaneously.
  • High level of professionalism, discretion, and attention to detail.
  • Strong technology skills, including experience with spreadsheets, databases, scheduling systems, productivity software, and AI platforms.
  • Ability to work collaboratively across departments and constituencies.
  • Ability to move throughout campus and athletic facilities and to lift, carry, and move athletic equipment and supplies up to 25 pounds.
  • Ability to work both indoors and outdoors in varying weather conditions.
  • Ability to work occasional evenings and weekends in support of athletic events and programs.
