We are seeking a full-time People & Culture Coordinator to join our team starting as soon as possible. As the operational engine of the People & Culture function, you will own the end-to-end execution of administrative, transactional, and process-driven workflows across the entire employee lifecycle. Through operational excellence, HRIS accuracy, and seamless service delivery, you will ensure our staff receive dependable, timely, and consistent support every day
Reporting to the Senior Strategic People Partner, you’ll collaborate across departments, bring creativity to your strategies, and exemplify our REACH principles: Respect, Enthusiasm, Altruism, Commitment, and Honesty.
Highlights of Key Responsibilities
Employee Lifecycle Execution
- Coordinate administrative processes for onboarding, offboarding, contract changes, and general documentation.
- Draft employment agreements, offer letters, verification letters, and exit documentation.
- Serve as the first point of contact for routine employee P&C inquiries, triaging complex matters appropriately.
HRIS, Payroll & Benefits Administration
- Maintainaccurateemployee records inADP Workforce Now(new hires, job changes, departures).
- Assistwith monthly payroll preparation and ensuretimelycompletion of benefits enrollments and status changes.
- Conduct regular data audits to preserve data integrity, document archiving, and privacy compliance.
- Generate routine and ad hoc reports/dashboards (headcount, turnover, tenure, recruitment metrics).
Recruitment & Hiring Support
- Post job advertisements,monitorthe recruitment inbox, and manage candidate communications.
- Schedule interviews, assemble candidate packages, and support hiring managers throughout the process.
- Maintaincandidate tracking systems andassistwith job fair/hiring eventlogistics.
Compliance, Records & Health & Safety
- Maintain digital and physical filesin accordance withAlberta privacy legislation and Employment Standards.
- Track background clearances (Police Information Checks / Vulnerable Sector Checks) and mandatory policysign-offs.
- Prepare compliance reporting, including required Alberta Education documentation.
Qualifications
- Post-secondary diploma or degree in Human Resources, Business Administration, ora related field (or equivalent combination of education and experience).
- 2–3 years of hands-on administrative experience in HR, People & Culture, or operational support.
- Hands-on experience with HRIS systems (specifically ADP Workforce Now) and safety/compliance management software (e.g., Hour Zero) is highly desirable.
- Basic understanding of payroll processing workflows and benefit administration.
- Satisfactory Criminal Record Check, including Vulnerable Sector Check, required within thirty (30) days of signing the employment contract.
- The candidate must demonstrate a meticulous approach to data entry, record-keeping, document drafting, and reporting.
- They must possess a proven ability to handle highly confidential and sensitive personal information with utmost professionalism and integrity.
- They should bring strong interpersonal and communication skills to effectively triage inquiries and support both employees and leaders.
- They should maintain a foundational knowledge of Alberta Employment Standards, Privacy Legislation, and Workplace Health & Safety regulations.
- Demonstrate a relational mindset, approaching every task—from database entry to event execution—with the community’s experience and long-term relationship with Calgary Academy in mind.
- Show strong organizational skills with the ability to manage competing priorities across event planning, volunteer coordination, and database management.
- Model self-emotional regulation skills, supporting personal well-being and fostering a positive, welcoming work environment for colleagues and volunteers.

This position’s starting annual salary is $52,000 to $55,000 and will be determined depending on a candidate’s experience and competencies.
This position offers a hybrid working environment which allows for remote and onsite hours required each week. The standard work hours are 7.5 hours, with flexible start times from 7:30 a.m. to 5:00 p.m., Monday through Friday with a 30-minute unpaid lunch break.
