Description

Position Summary 

The Front Office Check-Out Specialist is responsible for managing the patient departure experience, ensuring all post-visit administrative tasks are completed accurately and efficiently. This role serves as the final point of contact for patients leaving the practice and plays an important role in closing the loop on each visit, including scheduling follow-up appointments, collecting balances, and ensuring patients leave with a clear understanding of their next steps. The ideal candidate is detail-oriented, organized, and committed to delivering a positive and seamless patient experience.

  

Essential Responsibilities

  • Greet and assist patients at the check-out desk in a warm, professional, and efficient manner
  • Review the patient's visit summary and ensure all required orders, referrals, and follow-up instructions have been completed by the clinical team prior to patient departure
  • Schedule follow-up appointments, specialist referrals, and ancillary services as directed by the provider
  • Collect and process outstanding patient balances, copayments, and self-pay fees at the time of check-out
  • Provide patients with visit summaries, after-visit instructions, and any additional documentation as needed
  • Verify and update patient demographic and insurance information at the time of check-out as needed
  • Communicate any outstanding insurance authorizations or referral requirements to patients clearly and professionally
  • Coordinate with clinical staff to ensure smooth patient flow and timely check-out processing
  • Answer patient questions regarding billing, referrals, and follow-up care, escalating to the appropriate team member when needed
  • Accurately document all check-out activities and updates in the electronic health record
  • Maintain a clean, organized, and professional check-out area
  • Handle patient concerns and complaints in a professional and empathetic manner, escalating to management as needed
  • Adhere to all HIPAA regulations and patient confidentiality standards

Requirements

  

Qualifications

Required:

  • High school diploma or GED
  • Minimum 1 year of experience in a customer service, receptionist, or front office role; healthcare setting preferred
  • Strong interpersonal and communication skills with a friendly, patient-focused demeanor
  • Ability to manage a high-volume check-out environment with professionalism and efficiency
  • Excellent organizational skills and attention to detail
  • Basic keyboarding and computer skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Knowledge of HIPAA regulations and patient privacy standards

Preferred:

  • Experience in a medical or specialty practice front office setting
  • Familiarity with referral coordination, prior authorization processes, and insurance verification
  • Experience with EPIC or similar EHR and practice management systems
  • Medical terminology knowledge

  

Working Conditions  

This is a full-time, on-site position (40 hours per week) performed in a clinic and/or office environment. 

  

Physical Requirements
This role requires prolonged periods of sitting and standing at the check-out desk throughout the day. Frequent use of a keyboard, mouse, and telephone is required. Must be able to move throughout the clinic to assist patients and staff as needed. Occasional lifting and/or carrying of up to 25 lbs. may be required. Must be able to communicate clearly and effectively in person and by telephone. Reasonable accommodations will be made for qualified individuals with disabilities.
