EverPass is seeking a detail-oriented Billing Operations Specialist to support our growing business by managing customer billing, order processing, subscription administration, and revenue operations within NetSuite.

This role is responsible for ensuring customer orders are accurately entered, subscriptions are properly configured, invoices are generated correctly, and billing records remain accurate throughout the customer lifecycle. Working closely with Revenue Operations, Finance, Customer Success, and Sales, this individual will play a key role in maintaining billing accuracy and supporting operational excellence as EverPass continues to scale.

The ideal candidate has experience working within NetSuite, enjoys process-oriented work, possesses a strong accounting foundation, and takes pride in delivering accurate, timely work.

Key Responsibilities

Billing & Order Management

  • Process customer orders, subscriptions, renewals, upgrades, downgrades, cancellations, credits, and billing adjustments within NetSuite
  • Review customer agreements to ensure billing accurately reflects pricing, contract terms, promotions, and subscription packages
  • Generate invoices and validate billing accuracy prior to customer distribution
  • Maintain customer billing records and subscription data
  • Support recurring billing processes across EverPass subscription products

NetSuite Administration

  • Enter customer orders and billing transactions into NetSuite
  • Maintain customer master records
  • Validate order accuracy before processing
  • Assist with system testing related to billing enhancements
  • Help improve billing workflows and operational efficiency

Revenue Operations Support

  • Partner with Revenue Operations and Customer Success to resolve billing questions
  • Investigate invoice discrepancies
  • Process refunds and credits
  • Support month-end billing activities
  • Assist with billing reconciliations and reporting

Accounting Support

  • Reconcile billing transactions
  • Support month-end close activities
  • Assist Finance with audit requests
  • Maintain documentation supporting billing controls
  • Ensure compliance with accounting policies

Process Improvement

  • Identify opportunities to automate manual billing processes
  • Develop documentation and standard operating procedures
  • Participate in continuous improvement initiatives

Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field (or equivalent experience)
  • 3-5 years of experience in:
    • Billing Operations
    • Accounts Receivable
    • Revenue Operations
    • Accounting Operations
  • 2+ years of NetSuite experience
  • Strong Microsoft Excel skills
  • Excellent attention to detail
  • Strong organizational skills
  • Ability to manage multiple priorities

Preferred

  • Subscription business experience
  • SaaS or technology company experience
  • Salesforce experience
  • Stripe experience
  • Chargebee experience
  • Experience with recurring billing
  • Understanding of revenue recognition principles

Expected Compensation: The anticipated base hourly wage range for a new hire into this position is $65,000 - $85,000. In compliance with local law, the range above reflects the current hiring range for this position. EverPass takes into consideration the qualifications, skills, and experience of the candidate, expected quality and quantity of work, and internal pay alignment when determining the salary level for potential new employees. EverPass expects to hire for this position at the mid-range salary, with the possibility of considering a higher salary only in rare cases when EverPass determines an external candidate possesses exceptional qualifications significantly exceeding the job requirements.
