At Hospice of the East Bay (HEB), everything we do is rooted in compassion, dignity, and community. For nearly 50 years, HEB has provided hospice and palliative care to patients in their homes and at our six-bed inpatient hospice facility, regardless of a person’s ability to pay. Our interdisciplinary teams support both patients and families, with bereavement services offered for at least one year after a loved one’s death.
Behind that care is a dedicated group of professionals who make sure our spaces are safe, welcoming, and fully functional. We are seeking a Facilities Coordinator who takes pride in meaningful work and understands how their behind-the-scenes efforts directly support compassionate care.
The Facilities Coordinator is a vital member of the IT & Facilities team and reports to the Senior Director, IT & Facilities. This role supports all HEB locations—including our administrative offices, inpatient hospice facility, and thrift shoppes—by ensuring buildings, grounds, and vehicles are well-maintained, compliant, and ready to serve patients, families, staff, and volunteers.

Ensure all HEB facilities are safe, clean, functional, and welcoming.
Coordinate maintenance for buildings, grounds, and equipment, including HVAC, plumbing, electrical, janitorial, landscaping, fire safety, and security systems.
Perform or coordinate minor repairs and handyman tasks such as patching, painting, furniture assembly, and small installations.
Assist with office moves, space planning, and facility improvement projects.
Maintain compliance with safety codes and conduct regular safety inspections.
Support emergency preparedness and response planning.
Assist with staff safety training, including fire extinguisher use and disaster preparedness.
Communicate safety reminders and best practices to staff.
Oversee day-to-day management of HEB’s vehicle fleet.
Coordinate routine and emergency maintenance, inspections, and repairs.
Track registrations, insurance, smog certifications, and vehicle documentation.
Maintain accurate fleet inventory and reporting.
Serve as a responsive, customer-focused resource for facilities needs.
Proactively check in with staff through regular walk-throughs and site visits.
Coordinate and communicate with vendors and contractors.
Troubleshoot facilities issues and follow through to resolution.
Maintain inventories, documentation, and clear communication with leadership.
A service-oriented professional who values teamwork and compassion
Strong communication skills and the ability to remain calm in urgent situations
Organized, proactive, and dependable
Comfortable with hands-on maintenance work and moving equipment as needed
Experience with facilities, maintenance, or building operations (handyman skills preferred)
High school diploma required; some college preferred
Associate degree or technical training in facilities management or a related field a plus
Minimum of three (3) years of facilities support experience
Comfortable using computers, email, and web-based tools
Ability to work effectively with staff, vendors, and leadership across the organization
