WE OFFER:
The Real Estate & Property Management Administrator provides administrative and operational support across a diverse portfolio of residential and corporate properties. This role partners closely with the Director of Real Estate to support property management operations, broker activity, vendor coordination, and bookkeeping-related tasks while ensuring accurate documentation, timely follow-up, and effective communication.
WHAT YOU'LL DO:
Provide day-to-day administrative support for residential and commercial property management activities across multiple states
Serve as a primary point of contact for tenants, vendors, contractors, and internal partners
Coordinate and maintain lease documentation, files, extensions, and renewals
Track rents, expenses, commissions, and payments using designated software systems
Assist with maintenance, repair, and capital improvement projects, including bidding, scheduling, and project closeout
Support vendor and contractor onboarding and relationship management
Respond to miscellaneous and occasional emergency property management needs
Support broker administration, including MLS searches, tour coordination, and market research
Assist with marketing of lease and sale listings to generate tenant and buyer leads
Support bookkeeping activities for owned properties, including invoice tracking, payment processing, and income/expense reporting
Track property taxes, insurance placement, inspections, and compliance requirements
Maintain master property spreadsheets and transition paper files to electronic records
Generate reports and documentation to support leadership, banking, and tax partners
MUST-HAVE:
Three or more years of administrative coordination experience in property management, real estate, or a related field
Strong organizational and documentation management skills
Proficiency in Microsoft Excel, Word, and Microsoft 365
Ability to manage multiple priorities and deadlines
NICE-TO-HAVE:
Bachelor’s degree in business or a related field
Bookkeeping experience using property management or accounting software
Experience with QuickBooks, Yardi, MLS systems, or MNCAR
Knowledge of multi-state real estate and property management regulations

Technical & Systems Proficiency: Effectively utilizes Microsoft 365, spreadsheets, bookkeeping software, and property management systems to support operations.
Compliance & Integrity: Supports adherence to real estate, rental, and property management regulations across multiple states.
Customer Service Mindset: Maintains professionalism and responsiveness when serving tenants, vendors, and business partners.
Independent Judgment & Accountability: Works independently, takes ownership of tasks, and follows through to completion.
Confidentiality & Professionalism: Handles sensitive financial, lease, and business information with discretion and integrity.
