As our Office Administrator, you will be the heart of our Lille workplace—keeping everything running seamlessly while creating a warm, engaging, and people-focused environment for colleagues, customers, partners, and guests. This is a fully on-site role, where your daily presence makes a real difference—supporting smooth operations, strengthening team spirit, and helping create an office where people genuinely enjoy coming to work.
Responsibilities:
- Serve as the first point of contact for the Lille office, managing incoming and outgoing mail, emails, and phone calls, and responding promptly to clients, visitors, and internal stakeholders.
- Maintain accurate and secure electronic and physical records, including office and lease documentation.
- Support new hire onboarding by preparing welcome packs, coordinating orientation logistics, and providing general HR administrative support.
- Manage day-to-day office operations, ensuring health and safety compliance and a well-maintained, welcoming work environment.
- Coordinate internal and external meetings, team events, and office activities.
- Oversee procurement of office supplies, equipment, furniture, and daily lunch orders, maintaining effective relationships with vendors and suppliers.
- Process vendor invoices, track expenses, prepare monthly and year-end reports, and reconcile office-related financial data with the Zoho HQ finance team.
- Manage allocated budgets for office supplies, lunches, and employee events.
Requirements
- Minimum of 4 years of relevant experience in office administration or a similar role.
- Experience providing general HR administrative support (such as onboarding coordination, employee documentation, or day-to-day HR assistance) would be considered an advantage.
- Fluency in French (both written and spoken) is essential for this role, along with strong proficiency in written and spoken English.
