Job Description:

JOB PURPOSE

To coordinate in planning, implementation and control of the efficient, effective forward and reverse flow and storage of goods, services and related information between vendors and projects to meet the organization’s program and projects implementation requirements. Communicate World Vision's Christian ethics and demonstrate a quality of spiritual life that is an example to others.

MAJOR RESPONSIBILITIES

  • Coordinate the Receiving of all incoming items /supplies and invoices as the Central Receiver for the Kono Base Office and on behalf of other Clusters/Provinces, ensuring all items/supplies are verified physically and technically against Purchase Orders and any other supporting documentation and ensure they reach their final destinations.
  • Ensure timely electronic receipt of goods/works/services in ProVision and timely submission of the invoices to Finance for processing of payment.
  • Prepare and submit weekly tracking report of invoices submitted to Finance to aid in reconciliation of supplier payments
  • Designing and implementing an inventory tracking system for optimized inventory control procedures
  • Maintain stock cards and storeroom documentation for all goods received in and issued out of the store, ensuring that storeroom policies and procedures are adhered to for proper accountability and produce monthly reports of receipts and issues of goods for Depts./Programmes/Projects to enhance planning for purchases.
  • Prepare monthly report of goods received and issued monthly as per WVISL standards and send to the Field Supply Chain Coordinators. Coordinate with the Procurement Unit for the timely issue of goods purchased for Depts./Programmes/Projects at the Base Office and for the timely dispatch of goods purchased for the field to support operations.
  • Carry out physical inventory/Verification check in the stores/warehouse and ensure all new fixed Assets purchased are tagged with WVISL Asset tags and assist with the Inventory tracking of all WVSL assets.
  • Provide direct supervision and coaching of Logistics Assistance at Field Level

REQUIRED PROFESSIONAL EXPERIENCE, EDUCATION, TRAINING, CERTIFICATION

  • At least three (3) years’ relevant experience, preferably in an International NGO or business organization.
  • Requires a Higher/Advanced Diploma in Supply Chain Management and/or Data Processing or equivalent education from a recognized institution

PREFERRED KNOWLEDGE & QUALIFICATIONS

  • An accounting background is an additional advantage.
  • Must be analytical, well organized with a high level of integrity

TRAVEL REQUIREMENT

Travel: 10% Domestic/international travel is required
