CONTRACTUAL INFORMATION:

Position Title: Aviation Assistant

Contract Type: G-5

Division: Aviation

Duty Station: Nairobi

Duration: 12 months

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):

Supervise passengers check–in & handle Ramp Duties:

  • Supervisor passengers check–in in accordance to the requirements and the instructions issued by UNHAS and the chartered carrier’s.
  • Updated the passengers about the time of departure and/or arrival, and provide transportation for passengers from the terminal to the air site or vice-versa.
  • Arrange & coordinate all the activities between the passengers check –in counter & the air side.
  • Handle baggage in the baggage sorting area & deliver baggage in accordance with the local procedures.
  • Print passenger’s manifests from Takeflite & pass to the crew together with the flights closure figures.
  • Keep & file all flight related documents in one folder/shared drive such as the passenger manifest, load sheet & fuel receipt extend all the necessary support and assistance to passengers when needed, special attention is provided to medical evacuation (MEDEVAC) and casualty Evacuation (CASEVAC) cases.
  • Deal with lost and found and damaged property.
  • Handle any claim or complaints made by the user and keep him//her up-dated.
  • Handle VIPs as per UNHAS procedures.

Supervisor Cargo Handling:

  • Provide accommodation (if available) and service for acceptance of cargo and ensure adequate control.
  • Issuance of cargo manifest per flight.
  • Prepare transfer manifest(s) for cargo to be transported by other aircraft keep up to-date data about cargo (at hand, outbound- inbound)
  • Supervise loading/Unloading, stowing and securing loads in accordance with chartered carrier’s and UNHAS instruction and procedures.
  • Address any claim for lost, found damage cargo raised by users.
  • Verification of the inbound cargo against document(s) and notify consignee.
  • Keep & utilize latest version of IATA dangerous goods.

Aircraft Handling:

  • Attendance. Standby before arrival before and after departure and general supervision of ramp handling activities.
  • Ground power unit & push back equipment. Supervise the operator’s act of positioning & removal of the suitable ground handling equipment during a specified time limit.
  • Relay to the flight following office & concerned parties aircraft movement messages.

Safety and security management:

  • Report immediately to the to the Chief Air Transport Officer (CATO) and the aircraft commander, all damage noticed at or inside the aircraft irrespective of cause or time of occurrence.
  • Monitor aircraft operations and performance, identify and report any likely hazard(s) and operational risk(s) which could affect the continued safe operations of aircraft.
  • Provide/arrange for suitable firefighting equipment and other protective equipment as required. Foreign object debris (FOD) control.
  • Use the proactive approach to mitigate the possibility of having any incident or accident.
  • If required, Provide /arrange for security of personnel, cargo and facilities.
  • Keep & file and use when necessary UNHAS emergency response plan.

Refueling of Aircraft:

  • Provide and/or arrange for the provision of fuel for aircraft and ensure that aircraft are refueled in time to satisfy scheduled departures and designated take-off times and verify the amount of fuel uplifted into the aircraft.

Administration:

  • Supervise all subcontracted personnel assigned to the flight.
  • Arrange for issuance or renewal of airport passes.

Operation & Reports:

  • Handling all the aircraft clearance and coordinate with related counterparts.
  • Maintaining records for UNHAS base fleet.
  • Support all the operators and facilities any issue facing them as much as possible
  • Verify the online aircraft utilization reports (AURs) as per SAOP
  • Monitor the monthly fuel reports as per SAOP.

Transportation Resource Management:

  • Exercise adequate control over the utilization of assigned transportation resources.


QUALIFICATIONS AND EXPERIENCE:


Education: Completion of secondary school education. Post-secondary certificate in air traffic control, flight dispatch, aeronautical engineering or related field is essential for Air Operations roles, desirable for Air Movement roles


Experience: 5 Years related job experience.


Knowledge and Skills:


• Experience in restricted flying zones, and other aviation risks and assisting in flight planning.
• Experience in handling passenger manifests and aircraft loading.
• Experience in interpreting routine weather reports.
• Experience in basic flight following and radio telephony procedures.


Language: Fluency (level C) in English language.
