About the Company / Role Overview
A growing chiropractic practice is hiring a detail-oriented, upbeat, and proactive Part-Time Virtual Assistant to help build strong foundations. The role focuses on marketing execution (social media + newsletters), organizing email + Google Drive systems, and light operational support as needed. Ideal for someone who enjoys creating systems, doing light creative work, and can “lovingly keep things on track” while keeping a positive working relationship.
Marketing Support (Social Media + Newsletter)
- Build a social media playbook using existing resources from the marketing hub (Circle) and saved content ideas
- Post and schedule content consistently on Instagram and Facebook (multiple times per week)
- Provide light content creation and light video editing/repurposing as needed
- Support monthly newsletters and basic Mailchimp email campaigns (Mailchimp synced with Jane)
Admin & Organization (Email + Google Drive)
- Organize and centralize multiple email inboxes, including 10+ years of emails and resources
- Categorize content into easy-to-reuse libraries for social media posts and newsletters
- Clean up and restructure Google Drive and Google Docs for clear, intuitive access
- Build sustainable systems that are easy to maintain long-term
Operations Support (Light / As Needed)
- Make patient callback phone calls for patients who fall off schedule
- Billing support (non-priority, later only):
- Run cards on file at end-of-day
- Track memberships and packages
- Note: This is a cash-based practice (no insurance billing). Anything beyond basic card processing will be handled by a specialized billing VA.
Tools You’ll Use
- Jane App (EHR) – preferred but not required
- Google Workspace (Drive, Docs, Sheets)
- Mailchimp (experience preferred, not required)
- Content tools (Canva, CapCut, or similar)
- Communication tools: Slack, Salesforce, WhatsApp, Skype
- Video conferencing: Zoom, Google Meet
- Comfortable exploring AI tools (AI-friendly mindset encouraged)
Must-Haves
- Strong organization skills and ability to build systems (email + Google Drive)
- Experience with social media posting (Instagram/Facebook) and basic content creation
- Detail-oriented, reliable, and proactive communicator
- Comfortable learning new tools (including AI tools like ChatGPT)
- Comfortable making occasional patient callback phone calls
- Positive attitude and strong communication skills
Nice-to-Haves
- Mailchimp or email marketing experience
- Light video editing experience
- Familiarity with Jane App
- Experience working with small practices or wellness brands

- Monthly newsletters are sent consistently through Mailchimp
- Patient callback follow-ups are logged and completed as assigned
Growth Opportunity
Strong long-term potential. As the practice grows, this may evolve into a more traditional Executive Assistant / right-hand support role (task management, accountability, higher-level ops). Responsibilities may later split into specialized roles (EA, billing, dedicated social media VA) to keep things sustainable.
Basic requirements
- Must be proficient in speaking and writing English very clearly
- Must have relevant work experience
- Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
- Must be available for video meetings with your camera on (when needed)
