About Our Client
Our client is seeking a highly reliable, detail-oriented Virtual Assistant with strong E-commerce expertise, particularly in Shopify, to support a growing U.S.-based healthcare and wellness brand. This role is revenue-impacting, and the ideal candidate understands that accurate inventory and optimized product listings directly drive sales and customer trust.
This is a full-time role created to ensure consistency, accountability, and high-quality execution, after previous challenges with assistants prioritizing social media over critical e-commerce tasks.
Primary Responsibility (Top Priority): E-commerce & Shopify Management
- E-commerce is the #1 priority for this role.
- Update Shopify inventory daily (every morning) to ensure the online store accurately reflects the clinic’s true inventory.
- Perform a second inventory check later in the day when needed to prevent incorrect “out of stock” listings.
- Identify inventory discrepancies and proactively notify the team.
- Add new products to Shopify as needed.
- Optimize Shopify product listings for quality and performance, including clean, professional product titles and descriptions, basic SEO keyword optimization, and ensuring listings have consistent, high-quality images (photos are provided by the clinic).
- Maintain a highly organized and polished Shopify storefront that supports revenue growth.
Secondary Responsibility: Social Media Scheduling & Basic Video Editing
- Social media is secondary to e-commerce and supports overall brand presence.
- Edit and schedule approximately 5 posts per week across Instagram, Facebook, TikTok, Google Business, and YouTube (as needed).
- Perform basic video editing only (simple trimming, captions, hashtags).
- Assist with content guidance (what to post or record), then edit and schedule content.
- Batch scheduling is preferred (e.g., scheduling content in bulk twice per month).
Light Customer Support (Shopify Messaging Only)
- Respond to Shopify customer messages approximately once per week.
- Handle basic, non-clinical questions (primarily inventory or order-related).
- Escalate all medical or clinical questions to the clinic team.
- No phone calls required.
Work Style & Accountability
- Follow a clear daily process and checklist.
- Provide consistent communication during working hours.
- Submit weekly and/or end-of-day updates as required.
- Demonstrate strong ownership, reliability, and attention to detail.
Tools Used
- Shopify (primary), Xero, GoHighLevel (GHL), Social Media Platforms.
Experience Requirements
- Medical education or degree: Preferred but not required
- Previous experience as a Virtual Assistant: Preferred
- Medical license (Doctor, Nurse, PT, etc.): Not required
Basic Requirements
- Must be proficient in speaking and writing English very clearly
- Must have relevant work experience, especially in e-commerce or Shopify operations
- Must be able to submit an NBI Clearance and/or Local Police Clearance before onboarding (mandatory)
- Must be available for video meetings with camera on when needed
- Highly accountable, reliable, and responsive
- Strong attention to detail, especially with inventory accuracy
