Our mission is to enable individuals and families to reach their full potential in body, mind, and spirit, using evidence-based counseling and educational services. Services offered by WTCG include individual therapy, Cognitive Behavioral Therapy (CBT), Cognitive Processing Therapy (CPT) and Eye Movement Desensitization and Reprocessing (EMDR) for trauma, premarital counseling, couples and family counseling, veteran services, children's play therapy, and anger management.


Position Overview
The AR/AP Specialist is responsible for managing the organization’s day-to-day accounts receivable and accounts payable operations, while also supporting other accounting functions as needed. This role ensures accurate financial records, timely invoicing, collections, and payments using QuickBooks. The ideal candidate is highly organized, detail-oriented, and able to work independently to support both the accounting team and the organization’s overall financial operations.


Key Responsibilities

Accounts Receivable (AR)

  • Generate and send customer invoices using QuickBooks
  • Apply customer payments and resolve payment discrepancies
  • Monitor aging reports and follow up on past-due accounts
  • Reconcile AR balances and customer accounts
  • Maintain accurate customer records

Accounts Payable (AP)

  • Enter and process vendor bills in QuickBooks
  • Schedule and process payments (checks, ACH, or online payments)
  • Reconcile vendor statements and resolve discrepancies
  • Maintain organized records of invoices and payments
  • Ensure timely payments in accordance with company policies

General Accounting Support

  • Reconcile bank and credit card accounts related to AR/AP
  • Assist with month-end close processes for receivables and payables
  • Generate AR/AP reports and provide summaries to management
  • Maintain accurate and up-to-date financial documentation
  • Support audits and financial reviews as needed


Qualifications

  • Proven experience with QuickBooks
  • Experience handling both accounts receivable and accounts payable
  • Strong attention to detail and accuracy
  • Basic understanding of accounting principles
  • Proficiency in Microsoft Excel
  • Strong organizational and time-management skills
  • 2+ years of AR/AP or bookkeeping experience


Preferred Qualifications

  • Associate’s degree in Accounting, Finance, or related field
  • Experience working in mid-sized businesses or non-profits


Physical Demands & Work Environment

  • Work is performed primarily in an office environment using standard office equipment.
  • Requires extended periods of sitting and computer use.
  • Must be able to occasionally lift up to 20 pounds.
