JOB TITLE:  Per Diem Staffing Supervisor  ( Full Time Position) 

POSITION GRADE: 80 ($25.00-$30.00) commensurate with education and experience

DEPARTMENT/PROGRAM: Talent & Culture

FLSA STATUS: Non-Exempt

JOB SUMMARY:

 

The Per Diem Staffing Supervisor is responsible for centrally managing and deploying the organization’s per diem Direct Support employees and nursing workforce. This role functions as the primary coordinator of per diem staffing across programs, ensuring consistent coverage, compliance, and efficient utilization of staff. In addition to scheduling responsibilities, this role maintains an active connection to operations by supporting on the floor during initial training and picking up shifts as needed, ensuring a strong understanding of program needs and maintaining continuity of care during staffing gaps.

 

ESSENTIAL FUNCTIONS:

 

Centralized Scheduling & Deployment

  • Own and manage the per diem staffing function end-to-end.
  • Serve as the single point of coordination for per diem DSPs and nurses.
  • Maintain centralized schedules, availability, and coverage plans.
  • Establish and maintain centralized scheduling within UKG for the organization.
  • Train leadership on the scheduling module within UKG.
  • Deploy per diem staff to programs based on:
    • Coverage needs
    • Qualifications and licensure
    • Compliance and program requirements
    • Respond to callouts and coverage needs in real time.
    • Ensure fair, consistent, and transparent distribution of shifts.

 

Per Diem Workforce Management

  • Maintain ongoing communication with per diem staff regarding availability, expectations, and scheduling practices.
  • Partner with Talent & Culture on onboarding, training readiness, and compliance requirements.
  • Track per diem utilization, trends, and gaps.
  • Support retention and engagement of per diem staff through clear communication and reliable scheduling.

 

Operational & Floor Support

  • Provide on-the-floor support during initial training for new per diems as needed.
  • Pick up shifts or provide direct coverage when necessary to ensure client safety and continuity of care.
  • Maintain familiarity with program operations, workflows, and staffing needs.
  • Serve as a collaborative support to program leaders during high-need periods.

 

Data, Reporting & Continuous Improvement

  • Monitor and analyze staffing data, including:
    • Open shifts
    • Callouts
    • Overtime usage
    • Per diem utilization by program
  • Identify opportunities to improve coverage, reduce overtime, and strengthen staffing efficiency.
  • Provide regular updates and insights to leadership.
  • Recommend process improvements related to scheduling and deployment.

 

Collaboration & Communication

  • Work closely with program leadership to understand staffing needs and priorities.
  • Partner with Talent & Culture, Compliance, and Nursing leadership as appropriate.
  • Maintain clear, respectful, and timely communication with all stakeholders.

 

 

POSITION SPECIFICS: 

Education:

  • A combination of education and experience required; 1 or more years of experience with a bachelor’s degree or 3 or more years of experience with a high school diploma. 

 

Experience: 

  • Experience in scheduling, staffing coordination, or workforce management (healthcare, human services, or similar environment preferred)
  • Strong organizational and time management skills
  • Background in a Direct Support role or Nursing  
  • Familiarity with compliance and licensure requirements in healthcare or human services
  • Experience using scheduling or workforce management systems

Physical Demands:

  • Sedentary work that involves sitting, walking or standing some of the time, and routine keyboard operations, writing, hearing and reading printed or electronic information.
  • May involve occasional kneeling, stooping, squatting, climbing, gripping, pushing, pulling, grasping, reaching above/below the shoulder and lifting up to 25 pounds.
  • May also involve occasional driving of clients.
