The Greater Victoria Emergency Response Team (GVERT) is seeking applications from civilian employees at each regional municipal police agency for the position of Scribe within the Integrated Scribe Unit (ISU) of the GVERT. The duties of a Scribe are an ancillary responsibility or collateral duty in addition to an employee’s regular duties.


Scribes are assigned to on-call rotations of 1-week every 6 to 8 weeks and will have the opportunity to volunteer for additional duties such as protests, public events and other planned operations. When assigned to a call-out rotation, applicants must be prepared to respond promptly, at any time of day or night, and are required to limit out-of-town travel and the consumption of alcohol and other impairing substances.


Employees will be compensated for call-out overtime and standby pay according to the terms of their home agency’s collective agreement.


Job Description


GVERT incorporates a Scribe position into the structure of the incident command team. All Scribes are assigned to the Integrated Scribe Unit (ISU). The Scribe is a resource for the incident command team and is present in the command post to support the Incident Commander. Scribes are also called upon to support some Public Safety Unit (PSU) operations, disaster response and other incidents.


The responsibilities of the Scribe include, but are not limited to:


  • Record accurate and chronological information noting key times
  • Any information/intelligence received by the Incident Commander
  • Any authorization considered and approved by the Incident Commander
  • Attend briefings/debriefings
  • Work in the role of scribe or boards person


Reporting


  • Report to the Incident Commander while assigned to an operation
  • Report to the Scribe Coordinator for administrative functions of the ISU


Qualifications and Expectations


  • Organized – capture information from multiple sources of information, summarize accurately, record quickly, work in a focused and time constrained setting
  • Flexible – adapt to new work settings and communicate well with new people from various agencies around the region. Respond quickly to in-progress operations which can be long in duration and occur at all hours
  • Self-motivated – use downtime during an incident to catch up on notes, update boards and ensure equipment is maintained
  • Accurate – take accurate and concise notes that may be used in legal proceedings and record verbatim when required
  • Confident – give and take direction in an unfamiliar setting and be able to ask questions and participate in briefings/debriefing


Eligibility Criteria


  • Civilian employee of the Victoria, Saanich, Oak Bay or Central Saanich Police department
  • Assigned to a position that can accommodate the requirement of a scribe to be called away from their primary duties when required and have the support of your supervisor to apply

  • Scenario evaluation
  • Complete the online Incident Command System 100 course (1 day)
  • Successful completion of the Scribe course
