POSITION SUMMARY
The Fleet Maintenance Supervisor oversees the maintenance, repair, and overall reliability of the company’s fleet of vehicles and equipment. This role ensures fleet operations are safe, cost-effective, and compliant with all applicable regulations. The supervisor leads maintenance coordinators, manages preventive maintenance programs, controls costs, and coordinates workflows to support organizational goals.
ESSENTIAL JOB FUNCTIONS FOR THIS POSITION
- Supervise and coordinate the daily activities of Maintenance Coordinators
- Ensure all regions are adequately covered when staff are out or on PTO
- Review repair orders to ensure accurate parts charges and complete repair documentation (3 C’s: Complaint, Cause, Correction)
- Ensure compliance with DOT, OSHA, EPA, and other regulatory requirements
- Maintain accurate maintenance records, including work orders, inspections, and warranty documentation
- Monitor fleet performance, reliability, and vehicle downtime
- Coordinate with vendors, dealerships, and external service providers
- Train, mentor, and evaluate maintenance staff; enforce safety policies and procedures
- Collaborate professionally with Operations, Customer Service, Maintenance Coordinators and other departments to achieve organizational goals
- Proactively report equipment, personnel, and operational concerns to upper management
- Respond to vehicle breakdowns and emergency repairs as needed
- Perform other duties as assigned
OTHER SIGNIFICANT JOB FUNCTIONS INCLUDE
- Monitors vehicle reliability and downtime while maintaining comprehensive records for inspections and warranties.
- Ensures the fleet remains in full compliance with DOT, OSHA, and EPA regulations.
- Acts as the primary liaison with dealerships, external service providers, and parts vendors.
- Internal Collaboration: Partners with Operations and Customer Service departments to align maintenance activities with broader organizational goals and proactively reports risks to executive leadership
Requirements
REQUIRED EDUCATION / EXERIENCE
- High school diploma or GED required
- 3–5 years of experience in fleet maintenance or vehicle repair
PREFERRED EDUCATION / EXPERIENCE
- Technical certification or associate degree preferred
- supervisory experience preferred
REQUIRED SKILLS (TECHNICAL, CLERICAL, LANGUAGE, ETC.)
- Proficiency with maintenance management software (TMT)
- Strong understanding of DOT regulations
- Demonstrated personnel management and leadership skills
- Computer proficiency, including Microsoft Office
- Strong critical thinking, problem-solving, and analytical abilities
- Initiative, assertiveness, and sound decision-making skills
- Effective verbal and written communication skills
