About the position:

Velosio is looking for an Onboarding Specialist to be an integral member of the Human Resources team.

 

As an Onboarding Specialist at Velosio, you will be the driving force behind creating a positive, seamless, and memorable experience for every new team member. In this role, you’ll manage the day-to-day execution of Velosio’s global onboarding program—guiding new hires from offer acceptance through their first weeks—and ensuring they have the resources, information, and connections to thrive. You’ll also own and maintain all HRIS data to guarantee accuracy and compliance.

 

Partnering closely with HR, IT, and leaders across the organization, you’ll bring Velosio’s “You Matter” culture to life by coordinating pre-employment compliance, managing onboarding logistics, and driving continuous improvements across the U.S., Canada, NearShore, and India regions.


Your day might look like:

Onboarding Coordination & Execution

  • Manage all day-to-day onboarding operations, ensuring timely completion of pre-employment and compliance activities such as background checks, I-9 verification, and employment eligibility documentation.
  • Serve as the primary point of contact for new hires during the pre-employment phase, providing clear communication, guidance, and support throughout the screening process.
  • Coordinate onboarding schedules, sessions, and communications for each new hire, ensuring a consistent and positive experience globally.
  • Maintain onboarding checklists, Joiners-Movers-Leavers (JML) process trackers, and SharePoint resources to ensure accuracy and visibility across teams.
  • Partner with IT and departmental leaders to ensure new hires receive all necessary equipment, system access, and credentials.
  • Facilitate quarterly Welcome Wednesday: Coffee Chat with CEO sessions, fostering connection and engagement among new hires and senior leadership.
  • Track and monitor onboarding progress to identify and resolve potential bottlenecks or issues quickly.

New Hire Experience & Engagement

  • Serve as a main point of contact for new hires throughout the onboarding journey—offering guidance, answering questions, and ensuring smooth transitions.
  • Coordinate with reporting managers and onboarding buddies to ensure new hires receive role-specific support and community connection.
  • Support initiatives that strengthen early engagement and cultural integration, such as new hire spotlights, introductions, or post-onboarding surveys.
  • Gather and analyze feedback from new hires to identify opportunities to elevate the onboarding experience.

System & Process Management

  • Administer and maintain all I-9 verification records in compliance with federal and state regulations; partner with HR leadership to complete timely reverifications and audits.
  • Manage background check coordination through Velosio’s third-party vendor, ensuring accuracy, confidentiality, and compliance with company policy and applicable laws.
  • Maintain and update the SharePoint New Hire Resource Portal to ensure all materials and links remain current, accessible, and user-friendly.
  • Manage onboarding workflows and records in HR systems (e.g., ADP Workforce Now, Rise, or other HRIS tools).
  • Own and maintain HRIS (ADP Workforce Now) data integrity by ensuring accurate employee records, timely updates, and compliance with organizational and regulatory requirements.
  • Compile onboarding data, compliance records, and survey feedback to support reporting, analysis, and continuous improvement.

Collaboration & Continuous Improvement

  • Partner closely with the Internal Communications & Employer Brand Manager to ensure onboarding initiatives align with company values, tone, and culture.
  • Consistently research and propose modernized approaches or program enhancements that improve efficiency and elevate the new hire experience.
  • Assist with the development and rollout of onboarding resources, templates, and process updates.
  • Recommend new touchpoints, activities, or engagement opportunities for new hires—backed by data, feedback, or trend analysis.

  • Bachelor’s degree in business, Human Resources, Communications, or related field (or equivalent experience).
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Proficiency with Microsoft 365, SharePoint, and HR systems (ADP, Rise, D365, or similar platforms).
  • Ability (and drive) to learn new software/tools with minimal supervision.
  • Proven track record of elevating employee programs or processes through innovation, organization, and collaboration.
  • Experience in people-facing, or customer-facing environments is a plus.
  • Collaborative mindset with a passion for creating exceptional employee experiences.
  • Strong experience in ADP Workforce Now a plus.
