You'll sit at the intersection of recruiting operations, systems, training, and candidate experience, owning the details that keep hiring moving smoothly today -- while helping prepare our Talent Acquisition function for what's next.

- COMPENSATION: Pay Range is $55,000-$65,000
WHY THIS ROLE MATTERS
The Recruiting Operations Specialist plays a critical role on the Talent Acquisition team by owning and supporting recruiting processes, tools, and systems to ensure they operate efficiently and consistently across the organization. This role partners with recruiters, hiring managers, and HR leadership to support hiring outcomes through recruiting operations management, coordination, sourcing support, and the development of training tools and documentation.
This position represents an evolution of traditional recruiting coordination and is designed to strengthen how the organization hires today while preparing the Talent Acquisition function for future growth. As recruiting tools and technology evolve, this role supports adoption, process changes, and ongoing optimization of the recruiting tech stack. The Recruiting Operations Specialist serves as a subject-matter resource for recruiting tools and processes and is a primary developer of templates, guides, and playbooks used by recruiters and hiring managers.
DELIVERABLES
Key responsibilities include, but are not limited to, the following:
Recruiting Operations & Systems
- Own day-to-day administration and functional oversight of the Applicant Tracking System (ATS), including requisition setup, candidate tracking, dispositioning, data integrity, and reporting
- Ensure job postings are accurate, consistent, and compliant across internal and external platforms
- Maintain, evaluate, and refine recruiting workflows to support efficiency, consistency, and scalability across the organization
- Support recruiting reporting and metrics, including identifying trends or opportunities for improvement
- Support the implementation, adoption, and ongoing improvement of recruiting tools and technology as the recruiting tech stack evolves
Interview Coordination & Candidate Experience
- Coordinate and oversee interview scheduling and logistics between candidates, recruiters, and hiring managers
- Serve as a primary point of contact for candidates throughout the interview and pre-employment process
- Ensure timely communication and a consistent, positive candidate experience
- Support offer preparation, background checks, and pre-employment steps in partnership with recruiters and HR
Sourcing Support
- Provide sourcing support for priority or hard-to-fill roles
- Partner with recruiters to build candidate pipelines and sourcing strategies
- Manage job board postings and job advertisements, including posting setup, refreshes, and basic performance monitoring
- Support job ad quality, consistency, and visibility across platforms
Training, Tools & Documentation
- Develop, maintain, and continuously improve recruiting templates, guides, and playbooks
- Create training materials and documentation for recruiters and hiring managers related to recruiting tools, processes, and expectations
- Support onboarding and training for new recruiters on systems, workflows, and best practices
- Train hiring managers on recruiting tools, interview processes, and hiring expectations
Collaboration & Support
- Partner closely with recruiters to support regional and functional hiring needs
- Promote consistent recruiting practices and standards across regions
- Provide input and support for broader Talent Acquisition initiatives and process improvements
- 3+ years of experience in recruiting operations, talent acquisition coordination, or a related role
- Demonstrated experience developing training tools, process documentation, or instructional materials
- Strong experience working within an Applicant Tracking System (ATS)
- Excellent organizational and time-management skills with the ability to manage competing priorities
- Strong written and verbal communication skills
- Ability to work independently, exercise sound judgment, and collaborate closely with recruiters and HR leadership
- Ability to handle confidential information with discretion
Technology & Tools
- Intermediate to advanced proficiency in Microsoft Excel, including building and maintaining reports, using formulas, and organizing data for recruiting metrics
- Strong proficiency in Microsoft PowerPoint for creating training materials, presentations, and visual guides
- Strong proficiency in Microsoft Word for developing templates, process documentation, and playbooks
- Ability to quickly learn, support, and advise on additional recruiting tools as the tech stack evolves
PREFERRED
- Experience supporting multi-region or high-volume recruiting teams
- Experience with sourcing tools and candidate outreach
- Familiarity with employment laws, compliance, and recruiting best practices
- Experience supporting both corporate and field-based hiring environments
