Your opportunity:

 

The Program Assistant plays an integral role in supporting the operations of the International Pharmacy Graduate (IPG) Program at the Leslie Dan Faculty of Pharmacy. The IPG Program is an academic bridging program that prepares internationally educated pharmacists to meet Canadian entry to practice requirements and develop the skills needed to provide patient centred care. Delivered entirely online, the program serves a diverse community of learners transitioning into Canadian pharmacy practice.

 

Reporting to the Director of Strategic Initiatives, the Program Assistant provides essential operational and technical support to ensure the smooth delivery of this fully online academic bridging program. Working closely with students, faculty, and program leadership, the role helps maintain efficient program workflows, supports digital learning environments, and contributes to a positive learner experience. This position plays a key part in upholding the quality, accuracy, and reliability of program processes and resources.

 

The position offers the opportunity to contribute to an innovative, fully online program that is dynamic, learner centered, and continually evolving. It provides valuable experience in digital content management, educational technologies, and academic administration while working in a supportive environment that encourages growth, collaboration, and meaningful impact on the learner experience.

 

As the Program Administrative Assistant, you will support administrative program processes and procedures. You will respond and liaise with contacts to ensure consistent administration procedures are followed. You will also assist with coordinating tasks for projects and other strategic initiatives.

 

The hours of work for this position are Monday through Friday, 8:45 AM to 5:00 PM, with occasional overtime weekends and weeknights.

 

Your responsibilities will include:

 

  • Providing technical support to IPG students, faculty, and lecturers to ensure effective use of IPG technologies and digital platforms
  • Updating and managing content across all IPG digital platforms, including content renewals, lecture materials and recordings, and coordination of any required updates
  • Supporting the setup and delivery of Professional Practice Laboratories, including being present during lab sessions, with occasional weekend availability required
  • Responding to enquiries within the scope of the role and redirecting requests as appropriate
  • Updating and providing training materials and detailed information to support users of IPG systems and processes
  • Updating and maintaining student and financial records with accuracy and confidentiality
  • Verifying the accuracy, completeness, and quality of all IPG materials

 

Essential Qualifications:

 

  • Bachelor's Degree or acceptable combination of education and equivalent experience
  • Minimum two years of experience in a University or related setting providing administrative program support
  • Experience implementing program improvements and maintenance of program standards
  • Experience providing support to students, faculty, or end users in an academic or training environment
  • Experience with digital content management system
  • Proficiency with digital learning platforms and educational technologies (e.g., Quercus, MyMedia, MS Streams)
  • Strong computer skills, including MS Office Suite
  • Excellent communication and customer service skills, with the ability to support users at varying levels of technical proficiency
  • Ability to show sound judgement in dealing with confidential information and a keen sensitivity to the personal nature of student issues
  • Ability to multi-task and complete tasks on time
  • Strong attention to detail for verifying accuracy and completeness of academic and administrative materials

USW Pay Band 09 -- $67,916. with an annual step progression to a maximum of $86,855. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
