As a Construction Procurement Specialist, you will assist the Senior Manager, Real Estate. in implementation of the United Rentals Opening and Completion Plans for all projects approved by management. Directs the construction and facilities procurement duties for multiple concurrent projects; determines what directions are necessary to assure compliance with contractual requirements and conditions from real estate package through construction phase

What you'll do:

  • Direct the procurement duties in securing proper completion of all reporting activities:

    • Coordinates, packages, and distributes construction and vendor contracts, invoices, and process approvals

  • Manages the document processing from site approval through final draw payment including all new store openings and remodel projects:

    • Reviews all contracts for accuracy

    • Files and forwards contracts, change orders, and request for progress payments to project managers

  • Prepares status reports on a weekly, monthly, and quarterly basis:

    • Track actual spend to budget on all projects

    • Maintain spreadsheet of costs associated with each project to determine final close out budget

  • Other duties:

    • Prepare contract documents for legal review and distribute for vendor review

    • Distribute record and track contract documents from preparation to execution

    • Prepare, execute, distribute and record purchase and work orders

    • Obtain vendor insurance documents

    • Create/Manage vendor terms with AP, obtain and process  vendor W-9 and EFT Forms

    • Track and record Landlord consent agreements

    • Receive invoices and match/validate invoices against existing contract obligations

    • Obtain lien releases

    • Reconcile obligations vs. invoiced amounts Manage exceptions

    • Code and upload invoices to Catalyst. Assign activity codes

    • Verify uploaded invoices are coded properly, distribute for approvals to appropriate PM

    • Process coding / re-code requests

    • Manage vendor invoicing issues

    • Process requests for Landlord reimbursement

    • Obtain and process received funds

    • Process check requests for required payments

    • Initiate projects in CoStar Real Estate Manager

    • Update project files with approved budget revisions, lease execution data, project approval dates, upload supporting documentation

    • Manage dark store, HVAC and lighting retrofit program data

Requirements:     

  • Bachelors degree or equivalent combination of education and experience

  • Minimum 2 years related experience

  • Demonstrated project management skills

  • Working knowledge of Microsoft Office (Access, Excel, PowerPoint, Word, Outlook); and Costar (or similar RE management software)
