The role/Te mahi

This position plays a key role in supporting the delivery of physician education programs for medical professionals. You will help bring to life initiatives such as Royal Australasian College of Physicians (RACP) courses, Grand Rounds, and Basic Physician Training. From planning through to execution, you will ensure the administration of registrations is complete, arrange travel, and organise expenditure processes, ensuring every event runs seamlessly on the day.

You will work closely with physicians, patients, academics, administrators, and researchers to support these programs throughout the year. Precision and professionalism are essential as you correspond with internal and external stakeholders, maintain accurate databases, generate insightful reports, and process financial transactions using University systems. Beyond event coordination, you will provide general administrative support, including scheduling meetings, preparing documentation, and assisting with planning activities.

This role is ideal for a true people person. Clear communication and the ability to build effective relationships are essential, as is a customer-centric approach when collaborating with diverse stakeholders.

You will have strong organisation skills and an eye for detail, along with confident coordination skills to manage enrolments, coordination, and programme activities. You will need solid technical capability across administrative systems, data management, reporting, and financial processes. Other key strengths include:

•    Ability to make effective decisions when balancing multiple tasks and deadlines.
•    Excellent written and verbal communication skills.
•    Demonstrate independence and proactive initiative, coupled with exceptional problem-solving abilities.
•    Proficiency with common office software (Word, Excel, PowerPoint) and online collaboration tools.
•    Experience in event or conference management would be advantageous.
•    Commitment to working in a culturally safe and respectful manner and demonstrate an understanding and appreciation of Te Ao Māori, Te Tiriti o Waitangi principles, and Pasifika values.

This is a permanent, part-time position (18.75 hrs) based in Ōtepoti, Dunedin.

The appointments range for this role is from $63,508 to $68,185, Top of Range $73,640

The Administrator function also includes Kaiwhakahaere Tari positions, which support the implementation of our Māori Strategic Framework.
