The Senior Library Assistant supports the University of Miami Libraries by dividing responsibilities between cataloging and processing library materials, data entry, and assessment. This position ensures timely and accurate descriptions of resources for discovery and access, while also collecting, analyzing, and reporting data to inform departmental planning, improve workflows, and enhance overall library performance.

This is a regular, full-time, normal business hours position on the Coral Gables campus and/or at the Off-site Storage facility in Miami Lakes.

ESSENTIAL DUTIES & RESPONSIBILITIES

Cataloging & Processing

  • Process books, media, and other material types for Richter Library's general collections and specialty libraries.
  • Perform copy cataloging for new and retrospective library materials, primarily print books, in accordance with established standards and practices.
  • Assist with the withdrawal of library materials and coordinate the distribution of cataloged materials across departmental staff and branch libraries.
  • Participate in cataloging clean-up projects, including those at the Libraries' off-site storage facility, as well as other special departmental initiatives, such as the bindery workflows project.
  • Support metadata quality control by ensuring accurate bibliographic records for access and discovery.

Assessment & Data Analytics

  • Collect, enter, and maintain data on technical services workflows, productivity, and collection development.
  • Analyze operations, systems, and practices to identify inefficiencies and recommend improvements to departmental workflows.
  • Create analytics reports to support strategic planning and resource allocation.
  • Contribute to special projects involving data analysis and assessment of library services.
  • Participates in assigned special projects to support departmental goals and Library-wide initiatives.
  • Other duties as assigned.

Communications, Relationships, and Service (ongoing)

  • Maintain helpful and supportive customer service behavior with all library customers, internal and external.
  • Establish effective and supportive interdepartmental relationships and participate in cross-training opportunities to increase library and unit effectiveness and to disseminate information effectively.
  • Communicate frequently and effectively with all University staff, faculty, and administrators in a timely manner regarding procedures, policies, and other necessary information.
  • Participates in library committees, task forces, and professional development training workshops.

WORKING RELATIONSHIPS

Supervision Received:

This position reports directly to the Interdisciplinary Collections Cataloging Unit Manager.

Level of Contacts:

The individual works with all levels of library faculty and staff, as well as student employees. In all contacts, the incumbent is expected to be professional and courteous.

MINIMUM QUALIFICATIONS (Education, Experience, Skills, Training, etc.)

  • High School graduate
  • Three years of relevant work experience. Two years of related experience in a library or cultural institution.
  • Any relevant education, certifications and/or work experience may be considered.
  • Working knowledge of the basic standards for bibliographic description.
  • Analytic and critical thinking skills.
  • Ability to work cooperatively and productively with others.
  • Ability to work independently in a team environment.
  • Strong oral and written English language communication skills.
  • Excellent organizational skills.
