Overview

GENERAL SUMMARY OF POSITION: 

Under the general supervision of the Parking Services Manager or designee, the Access Control Specialist is responsible for general clerical duties with the day to day operation of the Parking/Access Control office.

Responsibilities

MAJOR RESPONSIBILITIES:

  • Operate and monitor computerized security access control systems for all security card readers on and off campus.
  • Compile and maintain confidential employee information for the parking and security access control programs
  • Modify employees and vendor security access upon request and as appropriate
  • Issue badges for employees, and vendors of the Medical School and UMass Memorial, and appropriately assigns access.
  • Collaborate with colleges ‘clinical rotation coordinators to support rotations at University Campus
  • Generate security reports to support departmental requests
  • Support of visitor management system including triaging issues, providing employees and vendors to resources, and directing to check-in locations
  • Monitor and submit payroll deductions for parking for all employees, makes necessary changes via Peoplesoft/Memorial payroll systems.
  • Collect revenue for parking of student and outside agents and issue parking voucher and reconcile daily
  • Deposit cash receipts, as needed or required, at the Bursars Office
  • Handle daily parking problems with visitors, employees, and patients and assists with special departmental requests.
  • Handle parking violation though interactions with parking clerk, processing of payment for tickets, clearing through tickets registry of motor vehicles.
  • Coordinate with system vendors to insure proper repairs and maintenance including, troubleshoot problems vendor.
  • Review, sort and file a variety of material, set up and maintain filing systems, provide information which requires the use of Office Applications
  • Answer the emails, telephone calls, take messages or relays information within scope of authority. Greet visitors and employees, and provide support or resources to meet their needs
  • Maintain knowledge and understanding of revenue control system in the Patient Visitor Garage, and operation as needed.
  • Operate standard office equipment such as photocopier, computer, fax, etc.
  • Open, review, and distribute incoming mail accordingly.
  • Perform other duties as required.

Qualifications

REQUIRED QUALIFICATIONS:

  • Associate degree or equivalent experience
  • 3 years of secretarial/clerical experience.
  • Considerable knowledge of Business English, Spelling, Arithmetic and office practice.
  • Working knowledge of office equipment
  • Working knowledge of personal computer and use of data bases, spreadsheet programs, and MS office.
  • Able to interact with public and staff in stressful situations.
  • Ability to handle complex and confidential information.
  • Excellent oral and written communication skills to interact with all levels of staff both internally and externally to the Medical School.
