The Administrative Assistant I provides a variety of clerical support services to the Chief Nurse Executive and Nursing Services Program Supervisor. Performs moderately complex clerical work that may include copying, tabulating data, checking documents for accuracy, recording minutes, and maintaining files. Maintain and manage databases, and logs. Other duties may be required which are reasonably related to the essential or marginal function of the position. Works under general supervision with moderate latitude for the use of initiative and independent judgement.

 

Performs other duties as assigned.

 

Essential Job Functions (EJFs):

 

Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.

 

Assists Nursing Program Supervisor with scheduling and coordinating travel for all Nursing Service departments for patient transfer to other facilities or medical care at other facilities or discharge to another facility by facilitating travel forms for staff to business office.

 

Completes clerical duties as assigned including reassignment to other units for coverage to ensure patient and staff supplies are kept stocked.

 

Demonstrates effective communication when speaking to all co-workers or Department Heads.

 

Supports data coordinator for Nurse Supervisor’s office, admissions, and nursing administration. Assists with implementation of programs on units to achieve improved process flow.

 

Supports program supervisor in monitoring units to ensure Joint Commission Standard as outlined in the Joint Commission Manual; reports any issues and concerns upon discovery.

 

Attends mandatory training in order to ensure staff competence and development.

 

 

Knowledge, Skills and Abilities (KSAs):

 

Knowledge of and experience in using office systems such as Microsoft Office, Excel, Word, Power Point, and Outlook, spelling, punctuation, grammar, and arithmetic

 

Skills in coordinating trainings, meetings, travel arrangements and conference calls

 

Skills in receiving and responding to complex phone calls and email inquiries in a positive and professional manner.

 

Skills and ability to teach small and large groups policy and procedures.

 

Ability to prepare and maintain records, files, and reports.

 

Ability to meet deadlines and handle multiple, complex tasks with minimal supervision.

 

Ability to communicate effectively with department personnel, affiliates, HHSC personnel, and the public both verbally and in writing.

 

Ability to establish and maintain professional working relationships with others.

 

Ability to work discretely and maintain confidentiality when dealing with sensitive issues.

 

 

Registrations, Licensure Requirements or Certifications:

 

If required to drive a state vehicle, must possess a valid Texas driver license or obtain it no later than 90 days after hire date to drive a state vehicle. Applicants with an out-of-state driver license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.

 

Initial Screening Criteria:

 

At least one (1) year experience in a professional support role, two (2) years preferred.

 

Additional Information:

 

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.

 

All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age.

 

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.

 

Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine preventable. Vaccines may be provided. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
