The Role and What You’ll Do:

The Event Secretary plays a critical role in the planning, execution, and post-event management of professional bull riding events. This position ensures that scoring, timing, and event operations run smoothly, supporting the Livestock Director, judges, TV production, Chute Boss, and Competition department. The Event Secretary is responsible for coordinating event logistics, maintaining accurate data in the event management system, and serving as a central point of communication for all event stakeholders. This role requires strong organizational skills, attention to detail, and the ability to work under pressure in a fast-paced, live-event environment.

  • Manage event databases: Maintain and update all rider, team, bull, and buck order information to ensure accuracy and completeness throughout each event.
  • Prepare and distribute event materials: Print and organize event paperwork, day sheets, and reports for teams, judges, arena staff, and TV production; ensure all participants have the information they need in a timely manner.
  • Operate scoring and timing systems: Set up, test, and run scoring and timing systems during live events, verifying accuracy and functionality.
  • Document and process event outcomes: Record and manage challenges, re-rides, score reviews, and final decisions, coordinating with judges and replay officials as needed.
  • Coordinate event changes: Communicate rider, bull, or event updates promptly to all relevant stakeholders and ensure databases reflect approved changes.
  • Support post-event operations: Distribute final results, enter data for upcoming events, randomize draws, assign pens, and prepare reports for teams and league officials.
  • Training and backup support: Assist with onboarding and training new event secretaries and provide backup support for competition office tasks, including data entry, bull pen draws, and other event coordination duties.
  • Additional duties as assigned 

You Have These:

  • Understanding of live event coordination, timing/scoring systems, and rodeo or sports event procedures.
  • Comfortable using scoring and timing software, event management databases, Microsoft Office Suite (Excel, Word, Outlook), and basic IT troubleshooting.
  • Strong ability to manage multiple tasks simultaneously, maintain accurate records, and ensure event materials are prepared and distributed correctly.
  • Ensures accuracy in event databases, scoring, paperwork, and communications.
  • Clear verbal and written communication to coordinate with judges, teams, TV production, arena staff, and management.
  • Ability to quickly process changes, challenges, or re-rides during live events and make decisions under pressure.
  • Works effectively with Livestock Director, Chute Boss, judges, TV production, and other event staff.
  • Able to respond to rapidly changing situations and prioritize tasks in a fast-paced live-event environment.
  • High school diploma or equivalent required; associate or bachelor’s degree in sports management, event management, business administration, or a related field preferred.
  • Formal training in event operations, sports production, or rodeo management is a plus.

We’d Love If You Also Have These: 

  • 3 plus years prior experience in live event operations, sports production, or rodeo events preferred.
  • Experience with scoring/timing systems or event management software highly desirable.
  • Previous administrative experience involving data entry, reporting, and document preparation.
  • Experience training or mentoring others is a plus.
