As an Administrative Assistant, you will work collaboratively with the Human Resources team to complete administrative tasks associated with recruitment, onboarding, employee record maintenance, and benefits. This role will assist in coordinating HR projects, preparing reports and presentations, and administering the employee benefit programs. To succeed in this role, you will have the ability to prioritize requests, ensure the timely completion of tasks and uphold confidentiality at all times.

Dedicated Day Shift: 8:00am - 4:30pm, Monday - Friday

Job Duties
- Maintain and update employee records, both digital and physical, ensuring accuracy and confidentiality.
- Update databases to reflect changes in employee status records
- Assist with the recruitment and onboarding process by completing reference checks, preparing onboarding packages, and communicating new hire information to Managers
- Assist in the preparation and implementation of HR policies and procedures.
- Coordinate and assist with research for HR projects, meetings, and training seminars
- Prepare reports and presentations for internal communication
- Assist in administering employee benefit programs, including health and dental insurance, retirement savings plans, and other benefits
- Answer and direct phone calls, handle correspondence and act as the point of contact for internal and external contacts
- Prepare and distribute emails, memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
- Assist in event planning, both internal and external opportunities
- Prepare correspondence, such as offer letters and confirmation of employment
- Work collaboratively with the HR Team to review and improve current HR processes
- Perform general clerical duties including photocopying, scanning, mailing, and shredding
Skills and Experience
- Proficiency in MS Office (Excel, Word, PowerPoint) and familiarity with databases
- Strong ability to manage multiple tasks and prioritize work effectively
- Excellent verbal and written communication skills
- High level of accuracy and attention to detail in all tasks
- Ability to handle sensitive information confidentially
- Strong problem-solving skills with the ability to work independently
Qualifications
- Education related to business and office administration
- Courses in communication, public speaking, and writing are an asset
- Strong verbal and written communication skills are essential
- Technology aptitude: intermediate proficiency in Excel, Microsoft Word, and PowerPoint
- Manage multiple tasks and maintain organizational efficiency
- Customer service focused
