Job Description


Summary:

The Maintenance Scheduler is responsible for leading the scheduling of maintenance activities using the CMMS (Maximo) system. This role ensures the timely scheduling of work orders, verifies work order completion, and maintains compliance with Good Manufacturing Practices (GMP) and other standards.

Essential Functions: 

  • Review the status of all PM and PMCAL work orders and ensure they are properly scheduled and assigned daily.
  • Lead the timely scheduling and assigning of PM and PMCAL work orders for all work groups.
  • Lead a morning meeting with the CMMS Master Data Administrator and other departments to discuss scheduling details daily.
  • Ensure proper documentation and certificates are attached to work orders.
  • Verify completed work orders for adherence to GMP and compliance standards.
  • Maintain record-keeping for all PM and PMCAL work order service reports and certificates.
  • Facilitate PM and PMCAL weekly site health check meetings to discuss upcoming scheduled work and any overdue PM/PMCAL work orders.
  • Track and communicate the status of upcoming and overdue PM/PMCAL work orders to concerned departments, including annual site shutdowns.
  • Update and issue monthly and annual PM/PMCAL calendars to department group leaders and supervisors.
  • Provide detailed reports and metrics for CMMS-related scheduling.
  • Crosstrain with CMMS Master Data Administrator and other personnel as needed.
  • Collect and analyze data for maintenance schedule adherence calculations.
  • Collaborate with the Global OMX team for CMMS application upgrades and changes.
  • Implement and drive new changes and initiatives with the Reliability Engineering team.
  • Serve as a backup for the CMMS Master Data Administrator.
  • Maintain a safe working environment and report potential hazards.

REQUIRED QUALIFICATIONS

Education:

  • College/Technical School diploma in manufacturing, science, or related field required.

Experience:

  • Minimum 5 years of scheduling experience, preferably as a Maintenance Scheduler or similar role, preferably within pharmaceutical, food, or cosmetic manufacturing, with proven transferable skills in planning, coordination, and cross-functional collaboration.
  • Previous experience in using Computerized Maintenance Management System (CMMS), preferably Maximo.
  • Experience guiding schedule adherence and resolving conflicts
  • Experience developing and maintaining planning parameters and master data
  • Experience in project management an asset.

Equivalency:

Equivalent combinations of education, training, and relevant work experience may be considered.


Knowledge, Skills, and Abilities:

  • Advanced proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook)
  • Proficiency in data analysis and performance metrics reporting (PowerBI).
  • Ability to manage multiple priorities in a deadline-oriented environment.
  • Strong interpersonal, verbal and written communication skills
  • Ability to work collaboratively in a team environment 
  • Detail-oriented and organized, with a high degree of accuracy and thoroughness.
  • Capable of setting clear priorities, organizing work, and making quality decisions in a fast-paced business setting. 
  • Knowledge of lean manufacturing and continuous improvement methodologies
  • Proficiency with the English Language.


Standards and Expectations:   

Follow all Environmental Health & Safety Policies and Procedures. Work collaboratively with fellow team members, modelling positive team principles and partnering to meet project and departmental objectives. Perform all duties within strict compliance to Patheon quality systems Standard Operating Procedures (SOPs) and Good Manufacturing Practice (GMP). Maintain the workspace in a clean and orderly fashion.  Effectively engage in and adhere to departmental systems to maintain a smooth and efficient workflow (visual management, scheduling systems, etc.). Always be client and patient conscious. Understand Key Performance Indicators and strive to improve the performance of the team by identifying areas for system improvements and engaging in problem solving. Model positive thinking and is open to change, motivating the team to adapt to shifts in priorities and new ways of working. Proactively identify areas for improvement in the execution of procedures. Communicate risks to timelines in an initiative-taking manner.  Consistently strives to improve skills and knowledge in related fields.    

Physical Requirements:

Light physical effort and fatigue. Walks, sits, or stands for limited periods. May require occasional equipment operation including keyboard equipment. Lifts light items for limited duration. Typically located in a comfortable indoor area.  There may be exposure to mild physical discomfort from factors such as dust, fumes or odours, temperature extremes, loud noise, strong drafts, or bright lights. Use of Personal Protective equipment may be required and may include any of the following: safety glasses, safety shoes, lab coat, gloves, hair net, beard cover, safety apron, respirator occasionally.

Compensation

The salary range estimated for this position based in Canada is $69,400.00–$100,000.00.
