Position Summary

The Salvation Army Northern Division Headquarters (DHQ) in Roseville, MN, is committed to “Doing the Most Good” by supporting worship, housing, and service centers, addressing community needs, and administering emergency disaster services.

 

Wage: $33.65 per hour, 40 hours per week

The Senior Payroll Accountant is responsible for the accurate and timely processing of payroll for a large employee population, including both biweekly and seasonal weekly payroll cycles. This role supports payroll accuracy, reconciliation, reporting, and tax compliance, and works closely with Human Resources, Finance, and operational units to address payroll-related questions, resolve issues, and maintain accurate payroll records in accordance with organizational policies and applicable laws.

 

Essential Functions (approximate time spent)

  • Payroll Processing and Reconciliation (45%) - Process biweekly and/or weekly payroll in an accurate and timely manner, including reviewing and resolving payroll errors, preparing payroll-related journal entries, and completing monthly reconciliation of payroll accounts within the general ledger.
  • Payroll Coordination (20%) - Collaborate closely with Human Resources and other internal stakeholders to provide guidance and support to ensure payroll is processed accurately and in compliance with applicable policies and deadlines; serve as the primary liaison between operating units and the payroll processing service, as appropriate.
  • Payroll Reporting and Tax Compliance (20%) - Compile, review, and verify payroll data to ensure timely and accurate required reporting, including but not limited to biweekly tax deposits, quarterly payroll tax filings, and annual W-2 processing.
  • Payroll Records and Master File Maintenance (15%) - Review and process payroll master file changes to ensure appropriate approvals are obtained and maintain the integrity and accuracy of employee payroll records.

Education and Experience

  • Associate’s degree in Accounting, Finance, Business Administration, or a related field, or equivalent relevant experience.
  • 3–5 years of payroll processing experience, preferably supporting large employee populations and both biweekly and weekly payroll cycles.
  • Experience with payroll taxes, wage and hour compliance, and year-end reporting (including W-2 processing).
  • Experience reconciling payroll data and payroll-related general ledger accounts.
  • Must successfully complete background checks.

Competencies

  • Proficiency with payroll systems (e.g., ADP or similar) and Microsoft Excel.
  • Strong attention to detail and accuracy, with the ability to meet strict payroll deadlines.
  • Effective communication and collaboration skills when working with employees, HR, Finance, and operational staff to address payroll-related questions and resolve issues.
  • Ability to handle confidential and sensitive information with discretion and professionalism.

Working Conditions

  • Primarily office-based work involving prolonged computer use.
  • Ability to remain seated for extended periods and frequently use hands and fingers for keyboarding and handling documents.
  • Ability to occasionally stand, walk, bend, reach, and lift or carry office materials weighing up to 10 pounds.
  • Ability to work extended hours as needed during peak payroll periods, including seasonal weekly payroll cycles and year-end processing.
  • Professional office environment; eligible for hybrid or remote-friendly work arrangements.
