Primary Purpose

The Clinical Translation Specialist is responsible for translating and reviewing written clinical and health-related content (primarily English to Spanish, with occasional Spanish to English) in support of clinical research reporting, patient education, and stakeholder communications. This role ensures timely, accurate, and culturally appropriate translations, adhering to established program quality standards and applicable Standard Operating Procedures (SOPs).

Within the Biomedical Informatics & Data Science (BI&DS) division, this position resides in the Clinical Data Management & Reporting (CDM&R) department and supports document-based workflows that require high attention to detail, strong writing/editing capability, and consistent quality control. In collaboration with the Health Informatics department, the Clinical Translation Specialist serves as a subject matter expert (SME) for medical translation initiatives, including terminology guidance, translation workflow improvements, and translation-tool best practices.

Responsibilities

  1. Translate and review a wide range of written materials from English to Spanish (and occasionally Spanish to English), including patient education content, protocols, surveys, letters, instructions, reports, websites, and related communications.
  2. Edit and revise Spanish translations for accuracy, clarity, tone, grammar, consistency, and cultural appropriateness; apply plain-language principles as needed for patient-facing content.
  3. Perform quality control checks following standard guidelines and SOPs; ensure completeness and consistency across deliverables.
  4. Use translation memory/CAT tools and approved glossaries to maintain consistent terminology across deliverables and projects.
  5. Research medical and technical terminology in reputable literature and reference sources; document key terminology decisions for reuse.
  6. Coordinate with clinical/program stakeholders to clarify source intent and resolve ambiguities to ensure accurate meaning transfer.
  7. Respond to translation requests and inquiries submitted through an issue/ticketing system, utilizing effective and professional communication.
  8. Support cross-functional initiatives with Health Informatics (as SME) to improve translation workflows, terminology governance, and tool-based quality controls (e.g., translation memory strategy, glossary standardization).
  9. Assist with improving Standard Operating Procedures and User Guides related to translation and language quality processes.
  10. Participate in User Acceptance Testing (UAT) to support application releases that impact language workflows or translated content delivery (as assigned).
  11. Troubleshoot and appropriately report unexpected issues that may arise during translation/review workflows.
  12. Perform other related duties as assigned.

Required Skills:

  1. Exceptional written and oral communication skills with demonstrated expertise with grammar, syntax, style, and formatting in both English and Spanish.
  2. Proven ability to translate, edit, and revise clinical/health content with strong attention to detail and quality control discipline.
  3. Proficiency with translation memory/CAT tools and modern content workflows (e.g., Trados Studio and/or comparable tools).
  4. Ability to work in a busy setting, both independently and within a team; strong organization, time management, and follow-through.
  5. Proficient with computer usage and Microsoft Office applications.
  6. This position is subject to obtaining a Public Trust Clearance.

Qualifications

  1. Bachelor’s Degree (or equivalent combination of education and experience).
  2. ATA Certification (English to Spanish) or equivalent professional credential.
  3. Minimum of four (4) years of professional experience translating and/or reviewing medical, clinical, patient education, or health-related materials.

Though not required but an added bonus if you have any of the following...

  1. Certificate or formal training in medical interpreting or clinical communication (e.g., Bridging the Gap).
  2. Experience supporting government, research, or public health environments with structured translation workflows.
  3. Experience with content management systems and structured/technical formats (e.g., SDL/Kontent.ai, Oxygen XML, XTM).
  4. Additional specialization or training in legal translation and/or AI-assisted translation workflows with appropriate human review.
