About this role

ABOUT THE POSITION:

The Temporary Front Desk Assistant/ Exam Proctor oversees, coordinates, and participates in the administration of written tests, performance tests, and interview for the Student Disability Resource Center (SDRC) for The Claremont Colleges. This position requires strong customer service skills, basic computer skills, clear communication, and the ability to convey authority in a courteous manner to enforce exam requirements. This position works full-time in the evening and is anticipated to at the end of the academic school year on May 22, 2026.

ESSENTIAL FUNCTIONS

Function Title/Category

  • Use a web-based system (AIM) to schedule exams and manage the daily calendar.
  • Process exam requests, request exams from faculty, and return exams.
  • Oversee the work of the Examination Proctors during the administration of examinations.
  • Read standard instructions in English to candidates.
  • Monitor test rooms during the administration of examinations.
  • Enforce time limits and compliance with other examination procedures.
  • Explain and answer questions concerning examination procedures and related matters.
  • Be knowledgeable of, promote, and enforce all testing center protocols and requirements. Communicate clearly with faculty on exam requirements and convey to exam candidates.
  • Distribute examination materials to candidates.
  • Collect, check, and count examination materials.
  • Check candidates' identification.
  • Report rule violations and/or unusual occurrences during examinations.
  • Prepare the proctor's report.
  • Notify appropriate personnel when test equipment malfunctions occur.
  • Perform general clerical support duties such as answering phones, processing correspondence, maintaining files, and distributing mail.
  • Perform other related duties as assigned.

QUALIFICATIONS

Unless otherwise stated, the following qualifications are required to perform the essential functions of this position, or the individual must demonstrate how the essential functions will be performed (with or without reasonable accommodation) using other qualifications not listed below.

Education/Training:

  • A high school diploma or the equivalent.

Experience:

  • Six months of paid experience proctoring examinations. Some experience overseeing others or supporting an office is desirable.

Competencies:

  • Knowledge of customer service techniques for public contact in person and on the telephone.
  • Knowledge of basic recordkeeping procedures.
  • Understanding of FERPA and ADA regulations.
  • Able to coordinate the work of assigned employees.
  • Exercise judgment and discretion.
  • Communicate effectively orally and in writing and follow written and oral instructions in English.
  • Able to give clear and concise instructions in English.
  • Meet and deal with the public in a tactful and courteous manner while enforcing examination rules and procedures.
  • Able to keep information confidential.
  • Maintain accurate records.
  • Count quickly and accurately.
  • Learn general and specialized software applications
  • Punctuality, dependability, and flexibility.
  • Attention to detail.
  • Able to use basic functions of Microsoft Word, Outlook, web-based databases (e.g., AIM), and an online timekeeping system. Able to learn new computer technology as needed.
  • Ability to interact positively with a diverse community of coworkers, students, faculty, and other staff.
  • Ability to learn new duties and procedures for enhancements and changes to services and products offered.
  • Dexterity to manipulate paper, hardcopy files, writing instruments, computer keyboard, copiers, telephone, and other typical office equipment.
  • Awareness of and sensitivity to racial, cultural, religious, gender, and sexual orientation diversity.

Preferred Experience:

  • Some clerical or front office experience is desirable.

Work Schedule: The regular hours for this full-time, temporary position are 40 hours per week scheduled from 1:00 p.m. to 10:00 p.m., Monday through Thursday and 11:00 a.m. to 8:00 p.m. on Friday with an anticipated end date of May 22, 2026. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to the needs of the organization or business unit.

COMPENSATION

Pay: The pay rate for this position is competitive and commensurate with the duties, responsibilities, and qualifications required for the position, between $20 and $21 per hour.

Benefits: Due to the temporary nature of this position, it is only eligible for the following benefits: California Sick Leave, workers’ compensation, disability, Medicare, and social security, subject to the terms and conditions in the plan documents/policies.
