Key Responsibilities

Workday Learning Functional Administration

  • Serve as a subject matter expert for Workday Learning configuration, including:
    • Learning catalogs, offerings, programs, certifications, and curricula
    • Enrollment rules, delivery methods, learning assignments, and campaigns
    • Learning-related business process frameworks and security roles
  • Maintain data integrity and ensure accurate learner records, completion tracking, and certification status.
  • Support reporting and analytics by building and maintaining Workday Learning reports and dashboards.
  • Partner with HRIS and IT to support releases, enhancements, and integrations with external content providers or vendors.
  • Resolve Workday Learning issues, perform root cause analysis, and coordinate with Workday Support HRIS as needed.

Learning Project Management

  • Act as project manager for Workday Learning initiatives, including:
    • New learning program launches
    • Feature enablement and Workday release adoption
    • Content migrations and vendor implementations
    • Process and configuration enhancements
  • Lead project intake, requirements gathering, configuration design, testing, deployment, and post-launch evaluation.
  • Manage timelines, dependencies, risks, and stakeholder communications using structured project management practices.
  • Serve as the primary coordination point between Learning, HRIS, IT, vendors, and business partners.

Learning Process Ownership & Optimization

  • Own, document and continuously improve end-to-end Workday Learning administration processes, including:
    • Learning request intake and prioritization
    • Configuration and scheduling
    • Enrollment and delivery
    • Completion tracking, certifications, and compliance reporting
  • Standardize and document learning administration processes aligned with Workday best practices.
  • Identify opportunities to simplify, automate, or scale learning processes using system capabilities.
  • Create and maintain SOPs, job aids, and process documentation for administrators and learning partners.
  • Ensure learning processes comply with internal governance, audit, and data privacy requirements.

Stakeholder Partnership & Enablement

  • Consult with Learning and business stakeholders on how to translate learning needs into effective Workday Learning solutions.
  • Advise on system capabilities, configuration options, and process implications.
  • Support change management and adoption activities related to new learning functionality or process updates.
  • Provide functional guidance and mentoring to junior Workday Learning administrators or extended learning teams.

Required Qualifications

  • Bachelor’s degree or equivalent experience in HR, Learning & Development, Information Systems, or related field.
  • 5+ years of Workday Learning administration experience, including hands-on configuration.
  • Proven experience managing learning system projects and cross-functional initiatives.
  • Strong understanding of Workday business process frameworks, business objects, security concepts, and reporting.
  • Experience documenting and optimizing operational processes.
  • Strong analytical, problem-solving, and stakeholder communication skills.

Preferred Qualifications

  • Workday Learning certification or advanced functional training.
  • Project management certification (PMP, Agile, Scrum) or demonstrated project leadership experience.
  • Experience supporting compliance-driven or enterprise-scale learning environments.
  • Familiarity with Workday releases and feature adoption planning.
