Job Description

The Project Specialist supports the planning, execution, and monitoring of projects to ensure timely delivery and alignment with organizational goals. This role acts as a liaison between project managers, team members, and stakeholders, maintaining documentation and tracking progress.

The Project Specialist will assist in managing multiple projects by coordinating schedules, resources, and communications. Responsibilities include maintaining project documentation, monitoring timelines, and ensuring compliance with established processes. The role requires strong organizational skills, attention to detail, and proficiency in project management tools.

The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.

 

Responsibilities:

  • Assist in planning, scheduling, and tracking project activities.

  • Prepare and maintain project charters, status reports, meeting notes, and other project documentation.

  • Update project management systems (e.g., TeamDynamix, MS Project).

  • Ensure adherence to PMO standards and organizational policies.

  • Facilitate project engagements including but not limited to discovery sessions, recurring meetings, walkthroughs, and retrospective meetings.

  • Performs other duties as assigned.

 

Required Education and Experience:

  • Bachelor’s degree. An equivalent combination of education and experience may be considered.

  • Experience in project management preferred.

Required Knowledge, Skills and Abilities:

  • Proficiency in MS Office Suite and project management tools.

  • Strong organizational and time management skills.

  • Excellent written and verbal communication skills.

Preferred Qualifications:

  • Familiarity with project management methodologies (e.g., Agile, Waterfall).

  • Experience with enterprise project management platforms (e.g.,   TeamDynamix, Asana, MS Project).

  • Ability to analyze data and prepare performance reports.

  • Strong problem-solving and critical-thinking abilities.

 

Special Requirements:

  • Applicants with equivalent experience in lieu of a Bachelor’s degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor’s degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of four years of experience.
