PURPOSE
Under general supervision, provides support to graduate assistants, adjunct faculty, faculty, and staff in utilizing and understanding basics of benefit, retirement, and wellness programs.
DESCRIPTION
Functional Area 1: Benefits Liaison
Percent Effort: 60%
Provide counseling and information to employees and retirees on benefit programs. Answer basic benefit, retirement, and wellness questions. Request assistance on tasks that require further investigation.
Monitor benefit and wellness email accounts and respond to inquiries.
Responsible for assistance with benefit and retirement processes for employees and retirees regarding Workday actions.
Assist with obtaining dependent documentation and processing in HRConnect. Complete tasks for this event in HRConnect and Workday.
Assist in processing, faxing, and emailing retirement documents (TRS or ORP).
Process death claims, assist beneficiaries with life insurance policies and enrollment of surviving dependents.
Assist with separation and retirement processes to include but not limited to sending out email notifications, discussing separation items, processing paperwork, exit interviews, and process lump sum payments.
Set up benefit/retirement appointments, as needed.
Functional Area 2: Benefits, Retirement, and Wellness Events
Percent Effort: 30%
Responsible for Event Planning for Benefit, Retirement, and Wellness events.
Promote and foster wellness on campus as the campus Wellness Champion, working with community vendors such as Catapult, Airrosti, Blue Cross Blue Shield, Voya, Corbridge HEB etc. Maintain good business relationships with vendors so that this collaborative effort will benefit our employees and our community.
Create flyers, and information using PowerPoint, Publisher, Adobe, etc.
Market events by different methods of communication with employees.
Responsible for coordination of Wellness Activities to include but not limited to obtaining the venue, and location, ordering food, and confirming speakers.
Work with departments and colleges across campus such as Employee Relations, Recreational Sports, and Institutional Advancement to have successful events. Assist with events such as CLIMB, Compliance Conference, Catapult, Lunch & Learns.
Develop e-mail notifications, flyers, social media posts, and special campus announcements for questions and events held throughout the year to include but not limited to:
New Employee Benefits
Wellness Benefits
COBRA
Benefits @ separation
Send Retiree notifications to departments.
Department Notification on Pavers and Retiree Gifts
Deduction/Reimbursement owed to employees or retirees.
Candidate Follow-Up emails
Send Notice of Eligibility and follow-up emails for completion of retirement enrolment
Assigns and notifies employees of benefit orientation. Along with setting up calendar events for benefit orientation.
Updates Benefits, Retirement, and Wellness websites.
Functional Area 3: Other
Percent Effort: 10%
Communicate with employees, retirees, faculty, and adjunct faculty who are in benefits-eligible positions.
Assist in projects such as Summer Premium processing for graduate assistants and adjunct faculty.
Perform other duties as assigned.
QUALIFICATIONS
Bachelor’s Degree in a closely related field.
Two (2) year of experience in the Human Resource field.
Additional experience may be considered as a substitution for education requirement: Associates degree in a related field with four (4) years of experience in the Human Resource field or high school diploma/GED with six (6) years of experience in the Human Resource field.
Strong customer service, interpersonal, and communication skills to be able to work with individuals at all levels of the organization.
Intermediate skills in Microsoft Office Suite (Access, Word, Excel, PowerPoint, and Outlook) and standard office equipment.
Detailed oriented, good time management, and strong organizational skills.
Attention to detail and the ability to multi-task are essential.
High level of skill in handling sensitive data and maintaining confidential information.
Required to complete HIPPA training as a condition of employment within a reasonable time frame after the individual’s employment and on an as-needed basis thereafter.
PREFERRED QUALIFICATIONS
Bachelor’s Degree in Human Resources or closely related field.
PHR or SHRM-CP Certification
Experience in HR working with insurance benefits, retirement, and wellness programs.
Experience with Workday.
Experience working in FAMIS, Laserfiche, and Single Sign-On Programs.
Knowledge of federal and state laws impacting employment, i.e., IRCA, COBRA, and HIPAA, etc.
SPECIAL NOTICE
This is a security-sensitive position. The individual in this position is required to handle Protected Health Information (PHI) as defined by HIPAA regulations. The individual is required to handle PHI in accordance with A&M System policy and is further required to complete HIPAA training as a condition of employment, within a reasonable timeframe after the individual’s employment, and on an as-needed basis thereafter.
SALARY: up to $44,500/annually, approximately
$3,708.34/monthly
