If you share our clear vision to drive the transition to a low-carbon future, then this could be the job for you. We are currently seeking a Project Administrator.  This is a long term, contract position, working onsite daily to provide support to our project team located in Houston, Texas.

 

About the Job

The Project Administrator is a position that requires a forward thinker, an ambitious attitude, and willingness to support any role requested by the Program Management Team. An ideal candidate will need to be adaptable to change as additional responsibilities may be assigned. The following are some of the general responsibilities for this position.

 

  • Provide Administrative Support to Project Managers, Team Members, Clients and Subcontractors.
  • Scheduling meetings with Outlook Calendars
  • Expedite expense reports & invoices.
  • Create and Format documents using MS Office Suite.
  • Manage weekly, monthly and quarterly reports.
  • Create & Distribute Minutes of Meetings.
  • Mobilization and Demobilization of employees.
  • Capture Action Items in SharePoint and updated databases.
  • Coordinate food orders and help distribute to the team. 
  • Setup and monitor project calendars, vacation schedules and distribution list.
  • Set up new employee’s offices and de-mobilizations; worked with HR and Facilities.
  • Maintain calendar, schedules meetings and appointments in MS Teams.
  • Handle travel arrangements (accommodations, transportation and a prepared itinerary). Create travel arrangements in company based program.
  • Compile and submit Expense Reports.
  • Inventory and order office supplies, plus office equipment.
  • Compose and proofread hiring manager correspondence responses to letters, emails and phone calls.
  • Maintain files in an organized and accessible manner to include updating information, purging files.
  • Manage internal and external communications (between Program team, contractors, field staff, and external customers).
  • Manage and prioritize requests to be completed based on team needs.
  • Perform quality reviews of program reports, deliverables, and other documents.
  • Develop and maintain Excel spreadsheets to track program data (i.e., consent forms, vehicles, materials, equipment, and staff records).
  • Support office and field Teams with other duties as requested.
  • Ability to interact and converse with program contractors and members of the public.

About You

Minimum Requirements:

Associate's degree Business Administration and Management

 

Preferred Qualifications:

  • 2 or more years as a construction/engineering administrator
  • 2 years assisting in project management
  • Proficiency in PowerPoint
  • Proficiency in Microsoft Office Suite (i.e. Word, Excel, Outlook,
  • Critical thinking and problem solving
  • Ability to adapt quickly to new or changing technologies/situation
  • Construction and/or engineering background
