A Brief Overview
This position will be responsible for understanding physician documentation tools, such as MModal full and partial dictation within Epic, Dragon voice recognition, and MModal documentation types and user builds. They will be responsible for providing training and support to physicians related to use of these tools. They will monitor the daily productivity and quality of transcribed reports and day to day transcription activity. As appropriate, this position will participate with hiring, training and allocation of work for both MSD and HSD transcriptionist staff.

Experience Qualifications

  • 3 years Transcription experience required (including working with physicians on transcription related issues and with transcription vendors and using dictation tools such as dictation devices). Required
  • Dragon/MModal experience. Preferred


What you will do

  • Works with the vendor, application team, technical staff, MSD and HSD transcriptionist, clinical informatics trainers and physician to develop and implement the training program for specific applications, including training specific to software upgrades or new releases.
  • Create and maintain an overall training schedule and training materials for providers, coordinate the scheduling of the appropriate level of training for each user, ensures that all users who need to be trained on the system are trained prior to gaining access to production system.
  • Works closely with HIM Director, clinic physician leadership, IT Training Manager and clinic staff to identify education needs and develop appropriate education plans.
  • Serves as the central point of communication for support questions for Dragon and MModal while demonstrating both systems, ensures that Protégé dictation devices are appropriately configured and available for clinic providers to use, evaluates effectiveness of education programs, provides feedback based on such evaluation and offers suggestions for improvement/revision.
  • Works with the SV application team to respond to user concerns regarding the systems and resolves them, contacting vendor if necessary.
  • Provides assistance to any staff member where priorities have been assigned by immediate supervisor. Continually advances knowledge level through training and observation of co-workers.
  • Manage in-house and remote duties for MSD and HSD transcriptionist, completes performance evaluations and competency forms on all employees both MSD and HSD transcriptionist staff, manages duties for both MSD and HSD employees, with the ability to coordinate workload evenly by distributing work appropriately for timeliness completion of all work.
  • Demonstrate a good understanding of the dictation system including C-phones and dictation devices, both MSD and HSD, performs monthly audits on staff and vendor, and results updated in the spreadsheet and tacking system within 2 months of being performed.
  • Weekly huddle meetings held and minutes/notes given to staff.
  • Routine practice of the organizational 10 Tenets and Small Moments and, report at huddles when they occur.
  • Uses project management skills to effectively manage implementations, upgrades, and activities, track users concerns and looks for patterns in problems, track vendor calls and ensures timely resolution of issues with the vendor, may provide on-call support for the application, ensuring 24x7 support.
  • Serves as liaison between IS, Transcription and patient care staff including physicians, ensures transcription productivity reports are provided for all MT’s, must have knowledge of the workflow with documentation and full/partial dictation within Epic, demonstrates adaptability through flexibility, negotiation, stress management, versatility, and prioritization.
  • Consistently demonstrates teamwork skills through appropriate and timely communication, feedback, showing empathy toward others, being goal oriented, consensus building, and showing courtesy toward others, listening effectively, and being willing to share information.
  • Practice HIPAA privacy rules and regulations on a daily basis.
