Position Summary
The Travel and Expense Clerk supports travel operations for Stellar Energy Americas. This role focuses on assisting employees, especially those working in manufacturing and field environments—with travel arrangements, expense reporting, and account setup. This is an entry level role with room for advancement and the position reports to our Normandy Facility.

 

Essential Functions

  • Assist with onboarding and setup for new travelers, including travel profiles and account logins.
  • Support booking of domestic and international travel (airfare, hotels, rental cars, and related logistics).
  • Maintain communication with travelers, including field services and manufacturing teams, to ensure smooth travel experiences.
  • Respond promptly to travel-related questions, special requests, and unexpected changes.
  • Provide guidance and hands-on assistance with expense report preparation and submission.
  • Ensure compliance with travel and expense policies and help identify areas for process improvement.
  • Consolidate booking receipts and verify expenses for accuracy and budget alignment.

Supervisory Responsibility
The position does not have any supervisory responsibilities at the time. 

 

Work Environment
This position primarily operates in a professional office setting but includes regular interaction with employees working in manufacturing and field environments. The role occasionally requires travel to other sites and coordination of off-site events, which may involve exposure to outdoor conditions.

 

Physical Demands

This is largely a sedentary position, but some movement and light lifting (up to 25 pounds) may be required for filing, event set up, or travel coordination tasks.

 

Position Type/Expected Hours of Work
Full-time, Monday through Friday, 7:30a.m. - 4:30p.m. or 8:00 a.m. – 5:00 p.m. Occasional evening or weekend work may be required.

 

Travel
Up to 20% travel, including occasional local site visits as needed.

 

Required Education and Experience

  • Minimum 2 years of experience in corporate travel, administrative, or executive support roles.
  • Experience with travel booking and expense systems such as Concur, SAP, or CTM (Lightning).


Work Authorization
Must be authorized to work in USA.
