Position Overview - Military Administrative Assistant I

The Department of Military Affairs is looking to hire a Military Administrative Assistant I - Facilities located out of Camp Lincoln. This position under general direction of the Construction and Facility Management Officer (CFMO), serves as staff assistant; performs highly important, technical administrative functions of a routine and of highly confidential nature; assists in the coordination of programs and special projects.  The Department of Military Affairs works with the members of the Illinois Air and Army National Guard.  We welcome all interested applicants to apply.

Essential Functions

  • Serves as staff administrative assistant to the Construction and Facilities Management Office (CFMO).
  • Researches and organizes background materials necessary to prepare responses for management dealing with both internal and external inquiries.
  • Receives, reviews, and process various requests for facility rental, ensuring accuracy and conformation to policy.
  • Serves as personnel liaison between the CFMO and the Personnel Office on personnel related matters.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with coursework in public or business administration.
  • Requires two years of professional experience working in a comparable role in a public or private organization.
  • Requires knowledge of both State and Federal (DoD and ARNG) personnel procedures, asset management, and written correspondence including laws, policies, and regulations.
  • Requires a working knowledge of State and Federal office procedures and programs.
  • Requires a general understanding of Military organizations, positions, and personnel.

Preferred Qualifications

  • Prefers three years of professional experience working in a comparable role in a public or private organization.
  • Prefers experience with digital knowledge management practices.
  • Prefers experience and use of MS Office Suite applications or other applications. 

Employment Conditions

  • Requires active or retired (20 years) membership in the Illinois National Guard or retired (minimum 20 years) US Armed forces, if last duty assignment was with the Illinois National Guard
  • Requires the ability to pass a DoD background investigation and obtain a DoD Common Access Card (CAC) prior to hire or transfer.
  • This position is considered light work as defined by the U.S. Department of Labor (20 CFR 404.1567(b)). Light work involves lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. This job may require a good deal of walking or standing or involves sitting most of the time with some pushing and pulling of arm or leg controls.
