Position Overview

IDOC is seeking a highly motivated professional to oversee distribution of incoming institutional mail. The ideal candidate will possess excellent communication skills. Additionally, the person selected for the position should be able to provide guidance/training to staff and perform a variety of clerical duties in the mailroom. Essential Functions

  • Serves as working supervisor.
  • Directs staff in recording all individual in custody write outs.
  • Provides direction in procedures for processing packages received/sent to and from United States Postal Services, FedEx, and UPS.
  • Receives and distributes all privileged and legal correspondence, special letters, and packages.
  • Keyboards responses to individuals in custody and staff regarding various mail issues and mail room procedures.
  • Monitors postage used and advises Business Administrator regarding additional purchase of postage.
  • Performs other duties as require or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of high school and two (2) years of office experience; or two (2) years of independent business experience.
  • Requires ability to keyboard accurately at 30 words per minute.

 

**Qualifying state employees, in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the state requirements for this classification. 

Preferred Qualifications

  • Prefers at least two (2) years of supervisory experience.
  • Prefers at least two (2) years of experience working in a mailroom.
  • Prefers at least two (2) years of experience creating mailroom related correspondence.

Conditions of Employment

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
