The Bid Specialist supports and services Staples Public Sector bid requests by coordinating, analyzing, and executing responses to Requests for Proposals (RFPs). This role is critical to streamlining the bid process, improving win rates, and ensuring compliance with Staples’ supply chain, sustainability, and pricing goals. The specialist will leverage external bid platforms, analyze historical performance data, and partner with internal pricing and sales teams to ensure every eligible opportunity is submitted with competitive, compliant, and high-quality proposals.

What you’ll be doing:

· Coordinate all aspects of the bid process for Staples RFPs, ensuring timely and accurate submissions.

· Analyze historical win/loss data to optimize proposal strategy and maximize future win rates.

· Manage bid registrations, review bid documentation, and analyze closed/lost bids to determine strategies for future opportunities.

· Proactively assess and project the value of bids before submission, collaborating with pricing analysts and pipeline management teams.

· Participate in pricing select bids and ensure competitive positioning aligned with Staples’ sourcing and product criteria.

· Act as a liaison between sales, pricing, and internal stakeholders to ensure bid requirements are met.

· Support post-bid debriefs, lessons learned, and continuous improvement initiatives.

· Leverage CRM tools (Salesforce) to manage bid timelines, communications, and compliance.

· Develop and maintain dashboards and reporting for internal stakeholders to monitor bid performance.

· Interpret customer legal agreements, terms, and compliance requirements during bid submissions.

· Ensure all bid activities comply with service level agreements (SLAs), vendor bill backs, and contract negotiation guidelines.

· Strong written and verbal communication skills with the ability to clearly present bid strategies and outcomes.

· Analytical and detail-oriented mindset with the ability to interpret complex RFPs and legal agreements.

· Strong organizational skills with the ability to manage multiple bid deadlines simultaneously.

· Collaborative and proactive work style; builds strong partnerships with internal stakeholders.

· Adaptability to shifting priorities, deadlines, and compliance requirements.

What’s needed- Basic Qualifications:

· Bachelor’s degree in Business Administration, Supply Chain, Public Administration, or a related field or equivalent work experience.

· 0–2 years of related professional experience in bidding, contract management, sales operations, or pricing.

· Excellent written and verbal communication skills.

· Proficiency with Salesforce CRM, Microsoft Excel, and reporting/dashboard tools.

· Experience interpreting customer legal agreements, terms, and compliance requirements.

· Familiarity with contract negotiation, vendor bill backs, SLA compliance, and pricing structures.

What’s needed- Preferred Qualifications:

· Experience utilizing external bid platforms such as Bidnet, GovSpend, GovWin, or Bid Prime.

· Prior experience working with public sector entities (federal, state, or local government) and understanding their procurement needs.

· Experience with proposal automation tools and advanced CRM functionality.

· Knowledge of Staples’ products, supply chain, and sustainability initiatives.

The salary range represents the expected compensation for this role at the time of posting. The specific base pay may be influenced by a variety of factors to include the candidate's experience, skill set, education, geography, business considerations, and internal equity. In addition to base pay, this role may be eligible for bonuses, or other forms of variable compensation.
