About this role

The Operations Administrator sets schedules and appointments, gives information to callers, takes dictation, and otherwise relieves officials of clerical work and administrative and business detail by performing the duties enumerated below.

REQUIRED SKILLS AND QUALIFICATIONS 

Education: 

  • High School Diploma 

Other Experience: 

  • Administrative and/or assistant experience 1-2 years.
  • Basic reading, writing, and arithmetic skills required.
  • Bilingual English/Spanish (Preferred)
  • Proficient in Microsoft Office and Excel (familiarity with medical terminology)
  • Professional verbal and written communication skills and the ability to type 50 wpm

Licensure/Certification: 

  • Business Office Administrative (Preferred)

DUTIES AND RESPONSIBILITIES: 

  • Answers and screens telephone calls, and arranges conference calls. 
  • Purchase items necessary.
  • Manages and updates contact information.
  • Replies to e-mails or other correspondence as needed.
  • Organizes and maintains file system and files correspondence and other records.
  • Arrange and coordinate travel schedules and reservations.
  • Makes copies of correspondence or other printed materials. 
  • Orders and maintains supplies, and arranges for equipment maintenance as necessary.
  • Prepares outgoing mail and correspondence, including e-mail and faxes.
  • Perform other duties as assigned.
