Your Role
We are seeking a highly experienced Executive Assistant to provide proactive, confidential, and high-level executive support to our Chief People Officer (CPO). This role is ideal for an EA who thrives in a fast-paced environment, can manage complex priorities with ease, and is committed to service excellence.
Key Responsibilities
Complex diary and email management; prioritise commitments and anticipate needs for the CPO.
Prepare correspondence, respond on behalf of the CPO, and liaise with internal and external stakeholders with professionalism and discretion.
Arrange meetings, workshops and events; prepare and distribute agendas, briefing packs, minutes, and action logs; proactively follow up actions to completion.
Coordinate papers to a high standard and within deadlines.
Prepare high-quality PowerPoint materials and briefings for visits, conferences, and internal forums.
Undertake research, collate information, and prepare reports to support decision-making.
Coordinate orientation plans and materials for new team members.
Arrange complex travel itineraries; manage invoices, expense claims, and credit card reconciliations.
Uphold strict confidentiality and work in accordance with SJGHC policies, including Equal Opportunity, Privacy and Confidentiality.
Maintain a flexible, solutions-focused approach in response to changing priorities and workloads.
You will have extensive experience supporting a senior executive, with strong interpersonal and written communication skills and a proven ability to manage complex diaries, meetings and minute-taking. Highly organised and self-directed, you can prioritise effectively, meet tight deadlines and exercise sound judgement with minimal supervision. The role requires advanced Microsoft Office capability, strong research and reporting skills and a high level of discretion.
