Position Summary: 

 

In conjunction with the Assistant Director, the SDS Program Coordinator will be responsible for the administration of Self-Directed (SD) Fiscal Intermediary (FI) Services. Duties include general administration and tracking of SD budgets, prompt billing and payment of approved services, Medicaid and corporate compliance adherence and employer or record duties for all “self-hired” staff.  Services provided through these plans allows individuals to live, work and grow in the most appropriate, integrated settings designed by them and their Circle of Support (COS) team.

 

Primary Duties and Responsibilities:

 

  • Adherence to “person-first” philosophy, goals set forth by the Department and Springbrook policies and procedures at all times
  • Have respectful, person-centered communication with supervisors, individuals, families, staff and community partners (OPWDD, service providers, vendors etc.)
  • Meet with assigned individuals, as needed, to coordinate aspects of the service plan within the fiscal intermediary (FI) established level of support 
  • Audit each SD plan/budget on a regular basis to ensure all appropriate documentation has been received from all responsible parties to avoid any interruption in services
  • Understand the SD Budget process including the role of each member of the COS team, budget entry in the on-line system, and roles and permissions within this system
  • Maintain, review and submit billing documents and payroll as required by the department of labor, Medicaid and Springbrook on an ongoing, timely, and efficient basis
  • Maintain required documentation to ensure Medicaid and corporate compliance standards are being met
  • Report all potential corporate compliance and/or possible 633/624 incidents to Supervisor immediately and complete reporting documentation when necessary or instructed to do so
  • Assist with New Employee Orientation and follow up with SD staff to ensure all required training is completed both immediately after hire and on an annual basis
  • Reasonable response time to individual requests and concerns, in the most convenient method of communication chosen by the individual, plan designee and/or staff   
  • Arrange and attend launch meetings (in person) for all individuals on your caseload
  • Attend ISP’s and COS and planning team meetings either by phone or in person, upon request and availability
  • Assist individuals and/or designees with HR related questions and provide policy and guidance as the employer of record
  • Monitor overall budgets for payroll and expenditure issues- inform individuals and support brokers of any compliance issues or potential overages within the budgets 
  • Assist program Administrative Assistants with contacting Support Brokers, Care Coordinators and others for outstanding documentation related to OMIG, OPWDD and Springbrook required information
  • Follow OPWDD SDS Guidance Document as well as HCBS Waiver Service regulations
  • Travel to team meetings and to other Springbrook locations as needed
  • Emphasize and evaluate satisfaction of those receiving services; tracking grievances and following up on concerns with your direct Supervisor as well as at department meetings  
  • All other duties as assigned

 

Qualifications, Skills and Knowledge Requirements:

 

  • Bachelor Degree’s required (Human Services preferred, others will be considered)
  • Preferred (1) years’ experience working with individuals with developmental disabilities or related field.
  • Must be able to work a flexible schedule.
  • Duties require professional verbal and written communication skills.
  • Proficiency in or knowledge of using a variety of computer software and e-mail applications, especially Microsoft Excel, Outlook and Word; have the aptitude to learn other computer software as necessary.
  • Must be able to lift 50 lbs. independently and assist in lifting weights exceeding 50 lbs.
  • Meet the requirements to drive Springbrook vehicles as required.
  • Access to reliable transportation as travel is required.
  • New York State Driver’s License is required.
