Position Summary
•The Facilities Management Support Specialist (FM Support Specialist) provides administrative support for all facilities management staff and departmental processes as well as associated database management. The FM Support Specialist is assigned a primary function by role. Cross training is managed by the Support Supervisor as required.

Education
•Level I: High School Diploma /GED. Office experience preferred.
•Level II: Six months of experience in Facilities Management.

•Technical Experience: Microsoft Office programs and general database knowledge
•Detail-oriented with a critical degree of accuracy regarding data entry and analysis
•Multi-tasking and organizational skills to prioritize workload in a high energy and fast paced environment

Role Specific Responsibilities
Level I
•Deals discretely with sensitive, confidential information concerning professional affairs, personal performance of staff and confidential departmental information, System planning and affairs, and other documents or communications.
•Monitors and maintains assigned database programs utilized by Facilities Management departments or utilized for system-wide processes managed by Facilities Management.
•Provides primary support for Manager, Lead, and front-line staff of assigned department.
•Works independently to publish and distribute scheduled reports, data, and specialty documents.
•Processes direct and phone que calls in a busy office environment.
•Dispatches work requests to Facilities Management front line staff based on established procedures.
•Collaborates with vendors and SIH staff to research and identify parts, supplies, or services needed.
•Submits requisitions, expense authorizations, or special orders as required to procure products or services as assigned.
•Completes other duties as assigned.

Level II Additional Duties
•Serves as a back-up for other primary support staff not on duty as assigned.
•Maintains current and complete TJC/IDPH/CMS record documents and reports for assigned areas for inspections and surveys.
•Evaluates and processes invoices for assigned areas.
•Provides training and support to system users for assigned database programs.
•Works directly with Manager and Lead staff as assignments require.
•Investigates, evaluates, and resolves identified issues or circumstances as presented by Support Supervisor or Facilities Management’s management staff.
•Coordinates and completes special assignments as directed by Support Supervisor.

Compensation (Commensurate with experience):

$16.89 - $25.34
