POSITION OVERVIEW
The Human Resources Coordinator is a key support role within the People & Capability (P&C) team, providing administrative and operational support across HR, Learning & Development (L&D), and Talent functions. This role ensures smooth HR operations, supports employee engagement, and helps drive continuous improvement initiatives while keeping employees and leaders at the forefront.

RESPONSIBILITIES
People & Capability
- Manage HR systems and backend workflows, ensuring accuracy, integrity, and completeness of employee lifecycle data (onboarding, changes, offboarding).
- Maintain and update employee records and support employee lifecycle data management and reporting for People & Capability insights.
- Handle HR, Learning & Development, and Payroll-related queries, escalating when required.
- Administer and support reward and recognition programs, including facilitation, system uploads, certificate preparation, and record management.
- Administer employee surveys, support engagement initiatives, and follow up on engagement outcomes and action items.
- Prepare HR reports and summaries to support engagement, workforce insights, and operational decision-making.
- Handle HR, Learning and Development, and Payroll queries, escalating when necessary.
- Administer reward and recognition programs (e.g., Employee of the Month, Star Awards).
- Administer employee surveys and provide process improvement feedback.
Human Resources
- Manage Colleague Connect workflows (e.g., change of details, cost centers, reporting lines).
- Create HR documentation including offer letters, letters of variation, and correspondence.
- Maintain accurate employee records in HR systems.
- Assist with system access and password resets.
Recruitment
- Support the seamless conversion of casual frontline factory staff to permanent roles in collaboration with the Talent Advisor Graduate.
- Draft job advertisements based on approved role descriptions and manage the full candidate lifecycle, including resume collection, shortlisting, interview coordination, reference checks, and employment agreements.
- Conduct visa eligibility checks (VEVO) and ensure compliance with employment requirements.
- Ensure all new starter documentation is completed accurately, and payroll information is provided in a timely manner.
- Lead recruitment for Factory Team Leader roles, including expressions of interest, interviews, and offer management.
- Coordinate allocation of security tags and PPE in line with company timelines.
- Manage employee referral programs and maintain relationships with labor hire providers, escalating queries to HR Advisors or HR Manager as needed.
- Schedule pre-employment medicals and escalate any flagged results to the relevant HR or Work Health & Safety Advisors.
Learning & Development
- Administer induction sessions and Learning and Development programs, ensuring proper scheduling, communication, and resources.
- Support leadership training programs and track attendance.
QUALIFICATIONS
- 5+ years’ HR generalist or HR coordination experience.
- Strong experience in HR systems and HRMS administration (BambooHR ideal; ADP and Kronos exposure highly regarded).
- Proven experience in employee lifecycle data management and HR reporting.
- Highly developed communication and stakeholder management skills.
- Hands-on administrative and coordination experience across HR, recruitment, and engagement activities.
- Strong organizational, planning, and prioritization skills.
- Customer-focused, proactive, and able to work independently under pressure.
