Accountability:
Provide effective, efficient, and pro-active administrative support to three VPs.
Manage and maintain complex diary coordination of three VPs through planning, coordinating, and arranging internal and external meetings.
Arranging timely, detailed, and accurate logistics for forthcoming travels, including proactive and timely arrangements in a cost and business efficient manner. Preparation of travel itineraries, independently arranging flights, visas, accommodation, and non-domestic car transport for the VPs and supporting their key staff. Travel regularly includes countries with complex visa requirements and logistics across the Middle East and Former Soviet Union.
Advance planning of yearly calendar of industry events including Shell participation at global conferences.
Primary accountability for organizing the annual London Crude Trading event at International Energy Week for >500 guests, including co-ordinating with the venue, catering, invitation lists and handling processes associated with entertaining significant numbers of government officials and other G&H obligations
Actively participate in the Event management team for the T&S Christmas and Summer Parties, hosting >1500 and >800 guests respectively
Function Site Owner and ongoing monitoring SharePoint site design and recommending best practice updates according to changing needs of Team’s storage and collaboration acting accordingly.
Supporting the three VPs and their Leadership Teams in creating internal and external communications campaigns
Play an active part of the T&S Administrative Support community in London and globally by attending regular lunches, arranging GTKY’s and be the back up support for one of the T&S Leadership Team executives.
Dimensions:
Supporting 3 VPs and the London visits of the Crude EVP and other Crude VPs
Minimum 3 days per week office attendance including when the VPs are in the office
Lead the Event Management Team for the Crude Trading Event at International Energy Week each February- 500 pax. Project planning usually starts 6 months ahead
Part of the Event Management Team of the yearly global TSCon– 100 pax. Project planning usually starts 9 months ahead
Part of the Event Management Team of the yearly T&S London Summer Party – 800 pax. Project planning usually starts 6 months ahead
Part of the Event Management Team of the yearly T&S London Christmas Party – 1500 pax. Project planning usually starts 6 months ahead
Requirements:
Professional, flexible, and pro-active attitude.
A high level of interpersonal skills and team working, able to communicate effectively at all levels.
Substantial experience as an Executive Assistant is a plus, including handling high level government and other external delegations on their visits to the Shell offices
Proven experience in major event management, including leadership for 500+ person corporate events
A good grasp of the English language and grammar, including ability to draft communications for the VPs.
Able to multi-task and manage high workload to tight timelines.
Restricted/sensitive information to be treated with a high degree of confidentiality.
Experienced in MS office applications, Concur, SharePoint, Teams.
