This role is responsible for administrative and clerical functions, customer inquiries and sales support for one or more cemetery. A proven commitment to quality customer service and teamwork is required.

JOB RESPONSIBILITIES 

  • Prepares and maintains interment rights, prepaid service, interment and product installation related contracts, documents/files as required by law and cemetery policy.
  • Prepares accurate interment related schedules and related documentation and correspondence required to ensure effective, efficient delivery of cemetery programs, services and events.
  • Prepares memorial marker orders and facilitates product installation and coordinates processing of orders and the control of storage inventory for vaults and markers.
  • Coordinates the processing of cemetery service requests and work orders related to Grounds/Maintenance staff.
  • Completes related invoicing, deposits, collections, cash flow and associated data entry.
  • Processes purchase orders and reconciliation of purchase-card transactions as required.
  • Utilizes cemetery software to create and update client accounts, invoices and property referencing.
  • Resolves cemetery’s customers’ inquiries, providing exceptional customer service.
  • Communicates with funeral establishments, religious and cultural organizations, community groups and product suppliers to support delivery of sales, programs and services.
  • Provides clerical support related to cemetery sales, services and related product delivery activities.
  • Ensures cemetery policies and procedures are followed.
  • Works collaboratively with team members to ensure necessary workflow and operational effectiveness.
  • Provides back-up support to other teams and division functions as needed.

MINIMUM Requirements

Education

  • High school diploma or equivalent required
  • College coursework in office/business administration preferred

Certification/License

  • Valid state/province driver’s license in good standing

Experience

  • One (1) year of administrative or customer service experience required
  • Funeral industry related experience preparing cemetery/funeral service related documents would be an asset

Knowledge, Skills and Abilities

  • Demonstrated accuracy of administrative functions, financial handling and documentation preparation
  • Ability to handle changing priorities and frequent interruptions in a fast paced work environment
  • Strong organizational skills to deal with fluctuating volumes of work
  • Ability to promote and offer for sale, products and services that enhance the cemetery business and meet customer needs
  • Extremely self-motivated and able to work independently without frequent supervision
  • Excellent communication skills to deal effectively with internal and external customers and the necessary interpersonal skills to deal compassionately and patiently with grieving families
  • Ability to work well in a team environment
  • Proficient in Microsoft Office and capacity to learn all software related to cemetery operations and procedures
  • Ability to drive regularly in cemetery and travel locally if needed

Work CONDITIONS

Work Environment

  • Work mostly indoors during all seasons and weather conditions
  • Occasional outdoor work required
  • Limited local traveling required
  • Comply with Field dress code policy

Work Postures

  • Occasional periods of time standing, up 3 hours per day
  • Sitting continuously for many hours per day, up to 6 hours per day
  • Climbing stairs to access buildings frequently

Physical Demands

  • Physical effort requiring manual dexterity is required, includes paperwork, calculators, computers and phone usage
  • Lifting, pushing, pulling up to 25 pounds

Work Hours

  • Working beyond “standard” hours as the need arises
  • Travel less than 5%
