Position Summary

This position oversees events that enhance the global employee experience. Reporting to the Director, Global Employee Experience, you will own the end-to-end design and flawless execution of internal events that strengthen culture, collaboration, and employee engagement across our organization. This role will plan 10+ events a year, ranging from large scale events with thousands of people, like a year-end party, to small scale onsite events like vendor markets. Parallel and overlapping planning is required. You will work independently with support from the broader Employee Experience Team and will be responsible for recruiting employee volunteers to support event execution. The ideal candidate will maintain strong cross-functional partnerships with facilities and vendors, and leverage technology to deliver measurable impact

This is both a creative and operational role, requiring an event planner who is deeply organized, highly efficient, a creative visionary and a practical executor. You must blend strategic thinking with hands-on project management, excel at vendor negotiation, maintain many details at once, coordinate well with all partners, have critical eye for continued improvement, and maintain strict budgets.

Essential Duties and Responsibilities:

  • Lead end-to-end planning and execution of employee events across in-person and virtual/hybrid formats, from concept through debrief.
  • Partner with HR, Corporate Communications, Facilities, Legal/Compliance, and business leaders.
  • Develop event concepts and agendas that align with company culture and values; craft engaging attendee experiences.
  • Create and manage event budgets, forecast expenses, monitor costs, and measure return on investment.
  • Manage procurement activities including vendor selection and contract negotiations as needed.
  • Lead cross-functional project teams, establish timelines and milestones, assess risks, and develop contingency plans.
  • Oversee all logistics: venue selection, catering, audio-visual needs, staging, signage, registration, and on-site flow.
  • Manage on-site event execution: supervise staff and vendors, coordinate activities, troubleshoot issues, ensure service levels, and maintain a high-quality attendee experience.
  • Design and implement attendee communication plans, registrations, and post-event follow-up to maximize engagement and feedback.
  • Develop measurement strategies, gather post-event feedback, analyze metrics, and deliver executive summaries with actionable recommendations.
  • Build and mentor a small events team or coordinate with external partners; foster knowledge sharing and professional development.
  • Maintain a rolling calendar of events, balancing priorities, avoiding scheduling conflicts, and aligning with business calendars.
  • Stay current on event technology, trends, and best practices; evaluate and implement tools to improve efficiency and attendee experience.
  • Perform other duties as assigned.

Qualifications:

  • 7+ years event planning or project management experience.
  • End-to-end event lifecycle expertise: concept to debrief, with strong post-event evaluation and ROI measurement.
  • Cross-functional leadership and stakeholder management: collaborates with multiple teams, leads volunteers, and influences without direct authority.
  • Financial and vendor management: budgeting, forecasting, procurement, contract negotiation, cost control, and risk management.
  • Hybrid/virtual event technology and accessibility: AV, registration platforms, multi-location coordination, and best practices.
  • Communication, analytics, and problem-solving: exceptional writing and presentation skills, executive-ready reporting, metrics-driven insights, and event troubleshooting.

** The position is not eligible for work authorization sponsorship.
