About this role


Core Duties, Responsibilities and Essential Functions

  • Provide excellent customer service to callers and visitors courteously, timely and efficiently.
  • Return all calls and emails within 24 hours. 
  • Handle more than one phone call at a time, by expediting or placing 1st caller on a brief hold while answering the 2nd call. 
  • Transfers all voice mail messages to the appropriate party at least 3x per day. 
  • Open and distribute mail by the end of each workday.  Ensure incoming courier bag is emptied in the morning and evening courier bag is ready to go by 5pm each day.  Switch name on bag. 
  • Contact team members if they have packages or boxes at reception to pick up each day.
  • Notify Executive Assistant when certified mail is delivered. 
  • Sort, date stamp and distribute return mail every day.
  • Check and log fax every hour. 
  • Replenish coffee supplies in the kitchen and large conference room at least 1x per day.
  • Replenish beverages in the large conference room refrigerator every morning.
  • Fill, run and empty the dishwasher as needed and maintain a neat, orderly kitchen.  Make sure that no dirty dishes are left in the sink. 
  • Take all garbage from the kitchen to the dumpster at the end of each day.
  • Clean the refrigerator as needed but no less than once a month.
  • Utilize system Call Log and the Community Information app. 
  • Function as the “gatekeepers” by routing call to appropriate party. 
  • Report emergencies to immediately to manager.
  • Assist with  mail-outs or other duties that may arise from time to time.
Working conditions and Physical requirements
  • Must be able to work under pressure, meet deadlines, and provide exemplary customer service.
  • Ability to perform the essential job functions safely and successfully with internal procedures and company policies as well as all related employee handbooks and training/safety manuals.
  • Maintain regular, punctual attendance consistent with company policies & practices and remain stationary at front desk unless performing specific designated tasks.
  • Lift and carry up to 20 pounds.
  • Must have oral and written comprehension along with speech clarity and recognition.
  • Ability to effectively use computers, telephones, and computer programs/systems.
